Commercial Flooring Estimator

Position Summary

FiddleHead FSG is seeking a Commercial Flooring Estimator & Project Coordinator for their Di5 and Dantra Wholesale Divisions. This person will be responsible for managing the estimation and bid process while also supporting the execution of awarded projects. This hybrid role ensures continuity from pre-construction through project delivery by handling estimation, proposal development, contractor/vendor communication, project tracking, and administrative coordination. The position requires strong technical estimating skills combined with organizational and communication strengths to keep projects accurate, on time, and well-documented.

Key Responsibilities

Estimating & Proposal Development

• Review project invitations (via text, email) and maintain a list of active bids.
• Analyze drawings, specifications, and bid documents to calculate quantities using estimating software.
• Verify pricing with vendors/suppliers and maintain accurate cost databases.
• Prepare detailed Excel spreadsheets and compile professional proposal documents (PDF format) with inclusions/exclusions clearly outlined.
• Review proposals with project leadership for accuracy and revisions before submission.
• Adjust estimates for escalated costs on long-term or delayed projects.

Project Coordination & Tracking

• Support Project Manager in coordinating daily project tasks.
• Track project milestones (material orders, deliveries, installation schedules) in spreadsheets or project management software.
• Set up and maintain job folders (digital/physical) including proposals, POs, drawings, delivery tickets, signoffs, and insurance documents.
• Ensure compliance documentation (e.g., subcontractor COIs) is collected and filed.
• Track delivery status of materials, manage paperwork for shipping/receiving/returns, and follow up on outstanding documentation.
• Prepare invoices, change orders, punch lists, and project close-out packages.

Vendor, Supplier & Contractor Communication

• Build and maintain relationships with vendors and suppliers; request updated pricing every six months or as needed.
• Send and track purchase orders, confirm delivery timelines, and resolve logistical issues.
• Follow up with contractors one week after bid submission via email, escalating to phone calls if required.
• Act as liaison between the Project Manager and subcontractors regarding scope clarification or scheduling.

Internal Team Collaboration

• Coordinate with installers and project managers to confirm material, labor, and travel requirements.
• Participate in project handoff meetings to capture full scope details.
• Communicate with leadership on project priorities, scope adjustments, and potential risks.
• Ensure all project documentation and communication threads are accurate and accessible to the team.

Qualifications & Skills

• 2–4 years of experience in construction estimating, project coordination, or commercial flooring.
• Strong knowledge of construction drawings, specifications, and bid processes.
• Demonstrated expertise in AutoCAD for architectural and interior detailing.
• Experience with Microsoft 365 (Excel, Word, PowerPoint, Outlook) and take-off/estimating software (e.g., MeasureSquare).
• Strong organizational and multitasking abilities in a deadline-driven environment.
• Clear written and verbal communication skills with both internal teams and external partners.
• Familiarity with construction-related documents such as POs, COIs, change orders, and close-out packages.

Job Type: Full-time

Pay: $50,000.00-$60,000.00 per year
