St. Clare's Housing is a non-profit organization dedicated to providing affordable housing in Toronto's downtown core. We own and operate apartment buildings that provide stable housing to individuals who have experienced homelessness and may face challenges related to mental health, addiction, and trauma.

Position Summary

The Assistant Property Manager supports the day-to-day operations of assigned residential buildings. This role works closely with Property Managers, maintenance staff, and community partners to ensure effective financial administration, property upkeep, tenant engagement, and administrative support in alignment with St. Clare's policies and values.

Key Responsibilities

1. Financial Management

Bookkeeping & Administration

  • Work collaboratively with the Bookkeeper where responsibilities overlap
  • Ensure accurate financial documentation and reporting as required

Rent Collection & Arrears

  • Receive rent payments and complete bank deposits
  • Issue late payment and rent increase notices
  • Administer lease terms and the Arrears Policy for delinquent accounts

Spending & Controls

  • Ensure all expenditures, including payroll-related expenses, are authorized in accordance with building spending policies
  • Administer the building's petty cash fund

Subsidy Programs

  • Assist with the administration of subsidy programs in accordance with applicable program guidelines

2. Property Management

  • Ensure routine maintenance is completed and report deficiencies to maintenance staff
  • Receive, track, and direct maintenance work requests
  • Maintain accurate maintenance and inventory records
  • Coordinate maintenance aspects of move-ins and move-outs, including inspections, repairs, and cleaning, in accordance with the Vacancy Policy

3. Personnel Support

  • Participate in staff performance evaluations as required
  • Support positive working relationships among building staff

4. Community Development

  • Assist the Community & Partnership Coordinator (CPC) in establishing and maintaining systems to register and respond to tenant concerns
  • Support effective communication processes so tenants are informed about building activities and updates
  • Respond to public inquiries regarding the building
  • Attend committee and stakeholder meetings as required

5. Administrative Support

  • Maintain organized manual and electronic filing systems
  • Purchase office supplies, equipment, and furnishings with appropriate approvals
  • Maintain inventories of office and maintenance equipment
  • Facilitate communication and movement of supplies or equipment between buildings
  • Provide general office and administrative support as needed

Qualifications & Requirements

  • 1–2 years of experience in property management
  • Experience working in a non-profit or community-based setting is an asset
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Ability to handle difficult or sensitive situations calmly and professionally
  • Strong communication and interpersonal skills
