About the job

As a Customer Service Clerk, you'll play a key role in supporting Ontario's mining sector by providing excellent service and ensuring smooth processes under the Mining Act. Your responsibilities include:

  • Responding to inquiries by phone, email, and in person, offering clear guidance on mining lands, claims, and Mining Lands Administration System (MLAS) processes.
  • Assisting clients and professionals with technical support in the MLAS and explaining access requirements.
  • Processing transactions and payments, ensuring accuracy and compliance with ministry policies.
  • Maintaining records and databases, performing data entry from time-sensitive documents, and verifying information for licenses and certificates.
  • Managing reception and mail services, handling incoming correspondence, and directing inquiries appropriately.
  • Providing administrative support, including preparing correspondence, filing documents, and assisting with month-end reconciliations.
  • Collaborating with team members to ensure quality control for documents filed under the Mining Act and supporting office operations.

What you bring to the team
Mandatory Requirement (For the Bilingual Positions):
  • You must possess oral French language skills at the advanced level. Your proficiency level will be confirmed before hire.
Customer Service and Interpersonal Skills:
  • You have good customer service skills to provide courteous and friendly service to internal staff and external clients.
  • You have demonstrated communication and interpersonal skills to interact tactfully and diplomatically with staff and client in sometimes contentious situations.
Analytical and Problem-Solving Skills:
  • You have analytical and problem-solving skills to retrieve information, identify and resolve issues and discrepancies.
  • You have the ability to determine the nature of client requests/inquiries over the counter, mail or telephone and refer clients to the appropriate staff member.
  • You have the ability to obtain, interpret and apply knowledge of land tenure information and the Mining Act, to process documents and respond to related general inquiries.
Office Administration Skills:
  • You can apply office administrative practices and quality standards to provide a wide range of office support services.
  • You can operate office equipment (e.g. fax machines, photocopiers, microfiche, etc.) to copy materials and transmit correspondence.
  • You are proficient with computer systems and a variety of software packages such as word-processing, spreadsheet, Internet/Intranet, email and knowledge of data entry and database systems to enter and retrieve data.
  • Familiar with equipment for taking payment in cash, debit or credit.
Organizational and Time-Management Skills:
  • You have solid organizational and time management skills to follow up on incomplete time-sensitive documents.
  • You have the demonstrated ability to work independently and in a team environment.
