Key Activities
Description of duties:
As part of the Artistic Planning Team, and reporting to the Manager of Artistic Operations, the Assistant to the Music Director / Office Administrator has three key functions:
- managing the schedule, communications and travel of the Music Director for activities related to the NAC Orchestra;
- supporting the Managing Director in the areas of meetings, travel arrangements, expense reports, and events planning;
- providing office management for the NAC Orchestra Administration team.
Key activities:
- Manage NAC Orchestra Music Director's schedule, liaising with internal and external stakeholders, to organize events and ensure Music Director is informed and prepared;
- Book Music Director's travel as related to NAC Orchestra activities, reconciling expenses against travel budget and coding for and submitting to NAC finance department;
- Liaise with NAC People and Culture staff for Music Director's work permit applications and renewals as required;
- Liaise with NAC's Marketing and Communications staff in the coordination of Music Director publicity materials and public speaking notes, working with NAC translation as necessary.
- Handle Music Director's correspondence in English and French;
- Support Music Director in media and communications events;
- Support NAC Orchestra Managing Director in scheduling, travel booking, and other administrative tasks;
- Support NAC Orchestra Managing Director in NACO strategy for NAC Foundation donor stewardship;
- Provide office management for NAC Orchestra Administration team, including ordering office supplies, distributing mail, responding to general inquiries (via email or phone);
- Organize team meetings by scheduling, preparing agendas and taking minutes;
- Work with Artistic Coordinator on concert ticket guest lists and post-concert artist hosting (e.g. restaurant reservations).
Skill Requirements
- Post-secondary degree in Music or relevant field of study; or equivalent experience;
- Minimum three years' experience in office administration or relevant field;
- Excellent interpersonal and communications skills;
- Discretion in handling confidential information;
- Proven experience with logistics and planning;
- Strong problem-solving skills, initiative and sound judgement;
- Ability to evaluate and manage priorities within a fast-paced environment;
- Ability to work under pressure and as part of a very busy team;
- Proficiency in Microsoft Office and ability to adapt to new database and calendar software;
- Fluency in both official languages;
- Available to work an irregular schedule, occasional evenings and weekends;
- Valid Ontario drivers' license.
