POSITION SUMMARY
Reporting to the Manager of Procurement & Vendor Partnerships, as the Procurement & Vendor Data Analyst
you will support the procurement and vendor-partnership functions by managing and analyzing vendor and procurement data. You will help drive cost-effective vendor sourcing, contract management, vendor performance tracking, and data-driven decision making — enabling the company to optimize vendor relationships, pricing, and service delivery.
You will play a critical role in contract cost modeling, maintaining supplier scorecards, conducting market analysis & category strategies, and developing procurement KPIs tied to company goals.
The ideal candidate is:
- Self-motivated and a keen self-starter
- Eager to take on new challenges
- Detail-oriented and superb with Excel
KEY RESPONSIBILITIES:
Vendor & Procurement Data Management
- Collect, extract, aggregate, and maintain procurement and vendor data from disparate sources (internal databases, vendor submissions, contracts, service-usage data).
- Ensure data quality: validate for completeness, accuracy, and consistency; flag anomalies or inconsistencies.
- Maintain and update vendor master records, pricing tables, contract terms, service-level data, and vendor performance metrics.
Spend & Cost Analysis
- Conduct spend and cost analysis of market rate benchmarking, and cost drivers such as haul distance bin size, frequency, etc.
- Identify savings opportunities through data analysis
Data Analysis & Reporting
- Develop and maintain analytical reports, dashboards, and KPI tracking for procurement and vendor-management functions (e.g., vendor performance, cost spend, price benchmarking, service frequency/usage patterns).
- Use tools such as Excel (and potentially BI tools) to analyze historical spend, vendor rates, customer usage/service patterns, and vendor performance.
- Identify cost-saving opportunities, inefficiencies, pricing discrepancies, or vendor performance risks and present findings to the procurement team/leadership.
Support Vendor Sourcing & Contract Administration
- Support vendor onboarding: ensuring compliance and complete documentation for new vendors (e.g., haulers, recyclers, service providers).
- Assist in evaluating vendor bids, comparing vendor proposals/quotations, and supporting rate negotiations to ensure cost-effective service while maintaining quality.
- Maintain and track vendor service agreements and contracts: document contract terms, expiry/renewal dates, amendments; coordinate renewals or rebids when needed.
- Additional contract management duties include tracking contract expiries and renewals, structuring rates, maintaining an organized contract repository, and supporting negotiations preparations.
Vendor Performance & Compliance Monitoring
- Monitor vendor performance against contractual expectations and service-level commitments (e.g., timeliness, quality, compliance with waste/recycling regulations).
- Assist in resolving vendor-related issues (e.g., missed pickups, billing discrepancies, service complaints) in collaboration with Operations/Client teams.
Strategic & Cross-Functional Collaboration & Support
- Work closely with Procurement, Operations, Sales, Sustainability, and Client-Services teams to align vendor sourcing and service delivery with customer needs and company sustainability initiatives.
- Provide data-driven support for service pricing, contract renewals, quoting, cost benchmarking, and client-facing proposals or summaries.
Continuous Improvement & Process Optimization
- Identify opportunities to improve procurement/vendor-management processes, data workflows, and vendor-management practices — for cost-efficiency, compliance, and data accuracy.
- Support ad-hoc data requests, procurement-related reporting, forecasting, and spend-analysis projects.
EDUCATION BACKGROUND AND QUALIFICATIONS:
- Diploma or Degree in Supply Chain Management (SCMP), Data Analytics, Business Administration or related field (or equivalent experience).
- SCMP/CSCP certification preferred
- 3-5 years of experience in procurement, data analytics, vendor management, or related roles.
- Advanced proficiency in Microsoft Excel is essential; familiarity with data-analysis and business intelligence tools (e.g., Power BI, reporting platforms) is a significant asset.
- Experience in the waste or hauling industry is a valuable asset.
- Strong analytical, data-management, and problem-solving skills; detail-oriented (particularly related to data), with strong organizational ability.
- Strong negotiation, organizational, and communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with procurement or CRM systems is an asset.
- Ability to work independently while supporting a team environment.
- Detail-oriented with strong analytical and problem-solving skills.
