The Role

We are seeking a Consulting Engagement Coordinator to support early-stage client engagement, intake, and proposal development within a professional services and ERP consulting environment.

This role plays a critical part in how new work enters the firm. You will help ensure client needs are clearly understood, accurately documented, and translated into well-structured Statements of Work that set consulting engagements up for success.

The role is execution-focused and works closely with consulting leadership and sales, bringing accuracy, consistency, and operational discipline to smaller and mid-sized engagements.

What You Will Do:

Client Intake & Discovery Support

  • Schedule and coordinate intake calls with prospective and existing clients
  • Participate in structured discovery conversations with architecture, engineering, and professional services firms
  • Capture client requirements, constraints, and objectives and document them clearly for proposal development

Statement of Work & Proposal Coordination

  • Draft Statements of Work using approved templates based on intake discussions and internal guidance
  • Ensure scope, assumptions, deliverables, timelines, and commercial details are complete and accurate
  • Coordinate internal reviews and revisions prior to proposals being issued to clients

Pipeline & Sales Cycle Coordination

  • Support assigned opportunities from intake through proposal and close
  • Track follow-ups, next steps, and outstanding items to maintain momentum
  • Assist with scheduling and coordination required to move opportunities forward

CRM & Sales Operations

  • Maintain accurate and up-to-date records in HubSpot, including intake notes, deal stages, activities, and documentation
  • Ensure proposal artifacts and communications are properly logged and accessible
  • Support pipeline reporting and overall data integrity

Internal & Client Coordination

  • Coordinate schedules between clients and internal consulting resources
  • Support clean handoffs from sales to delivery with complete, usable documentation
  • Act as a consistent operational point of contact for smaller engagements

What You Bring

  • Experience in ERP, technology consulting, management consulting, or professional services environments
  • Exposure to architecture, engineering, or consulting firms through direct work or industry experience
  • Experience supporting or drafting Statements of Work or consulting proposals
  • Familiarity with CRM systems (HubSpot preferred)

Nice to Have

  • Background in architecture, engineering, or construction-related environments
  • Exposure to ERP, PSA, accounting, or project management systems
  • Experience supporting consulting sales or engagement setup processes

Job Type: Full-time

Pay: $64,951.39-$123,114.68 per year
