Position Summary
We have a current vacancy for a
Project Coordinator
plays a critical role in supporting the successful planning, execution, monitoring and delivery of work periods within the Project Management Office (PMO) and Service Delivery Teams. Working closely with Ship Maintenance Leads, Planners & Schedulers, Project Managers, Finance Coordinators, Risk Managers, and Change Managers, the Project Coordinator supports day-to-day project administration, documentation control, stakeholder alignment and compliance with established governance, processes and quality standards.
This role is essential to maintaining business rhythm, enabling efficient decision-making and ensuring project teams remain aligned with contractual, technical, schedule, and financial obligations. The Project Coordinator contributes meaningfully to project performance by promoting accuracy, organization, proactive communication, and collaborative problem solving.
Key Areas of Responsibility
Duties, at the discretion of the Service Delivery Planning Team Manager and/or PMO Manager Lead, may include the following:
- Tracking invoices that do not have Objective Quality Evidence (OQE) and contacting vendors.
- Assisting with Goods Received invoices.
- Managing OQE tracking (within Main Work Lists, SharePoint etc.).
- Tracking OQE approval timing and coordinating with Ship Maintenance Leads to ensure timely payments.
- Supporting activities related to processing of billings and invoices, working closely with other functions such as Finance, Procurement, Service Delivery.
- Supporting project teams with project deliverables as needed.
- Supporting management and coordination of meetings as required.
- Supporting Procurement with purchase order creation requests for quotes.
- Supporting data gathering for performance measures as needed.
- Developing positive relationships with internal and external project stakeholders, such as suppliers, subcontractors and customers.
- Supporting development of project reports, as needed.
- Assisting with contracting and subcontracting documentation and correspondence.
- Working with project tools to manage activities and workflow issues (reports, deliverables, etc.).
- Working with the project Enterprise Resource Planning (ERP) tools, SAP and Isherwood, to process, and extract project data as required by the project requirements.
- Supporting and initiate continuous improvement initiatives with the team to recommend improvements to business processes (document lifecycles, internal processes, lessons learned, etc.).
Minimum Qualifications
- Two year diploma in Office Administration and/or Business Administration or in lieu of a degree, a combination of education and/ or experience as equivalency.
- Minimum of 3 years of demonstrated experience in the last ten years in a similar role.
- Ability to work independently with minimal supervision.
- Strong organizational skills and ability to balance multiple priorities.
- Strong written and verbal communication skills.
- Ability to effectively interact with both internal and external stakeholders.
- Understand project management and business processes.
- Proficiency in using Microsoft Word, Excel, PowerPoint and JIRA.
- Familiarization with IBM Maximo would be an asset.
- Familiarity with Enterprise Resource Planning (ERP) tools such as Isherwood /SAP is an asset.

Special Position Requirements
The reference Total Target Compensation (TTC) market range for this position, inclusive of annual base salary and the variable compensation target, is between
Total Target Cash (TTC) $70,000 - $95,000 CAD Annual.
This reflects how companies in a similar industry and geographic region generally pay for similar jobs. This range helps the Company make pay decisions as one data point among many. Where a position falls within this range is also dependent on other factors including – but not limited to – the employee's career path history, competencies, skills and performance, as well as the company's annual salary budget, the customer's program requirements, and the company's internal equity.
