Job Description

Job Overview:

We are seeking a detail-oriented and proactive Financial Administrator with experience in accounts receivable, accounts payable, invoicing, bookeeping, and financial reporting. The ideal candidate will be responsible for maintaining accurate financial records, processing transactions, and providing regular financial analysis to support business decision-making.

Key Responsibilities:

  • Bookkeeping:
  • Maintain accurate general ledger entries and balance accounts.
  • Reconcile bank and credit card statements on a monthly basis.
  • Record and categorize financial transactions.
  • Trust account reconciliation.
  • Accounts Receivable:
  • Generate and send invoices to customers in a timely manner.
  • Track and follow up on overdue accounts, ensuring payments are received promptly.
  • Maintain customer records, including credit terms and payment history.
  • Prepare aging reports and provide regular updates to management.
  • Accounts Payable:
  • Process incoming supplier invoices and ensure timely payment.
  • Verify invoices for accuracy and adherence to company policies.
  • Track and manage accounts payable aging to avoid late fees or penalties.
  • Prepare payment runs and handle vendor inquiries.
  • Invoicing:
  • Ensure accurate and consistent invoicing for services.
  • Review contracts and agreements to ensure proper billing terms are met.
  • Coordinate with other departments to ensure proper billing information is captured.
  • Reporting:
  • Prepare monthly, quarterly, and annual financial reports, including balance sheets, income statements, and cash flow statements.
  • Provide variance analysis and highlight key financial trends or issues.
  • Assist with the preparation of budgets and forecasts.
  • Analytics:
  • Analyze financial data to identify trends, inefficiencies, and opportunities for cost savings.
  • Provide actionable insights to management based on financial performance.
  • Support financial audits by providing necessary documentation and reports.
  • Other Office Admin work as required

Skills & Qualifications:

  • Proven experience in bookkeeping, accounts receivable, and accounts payable.
  • Strong knowledge of accounting software (e.g., Xero preferred).
  • Proficient in Microsoft Excel (pivot tables, VLOOKUP, and financial modeling).
  • Excellent attention to detail and accuracy.
  • Strong organizational and time-management skills.
  • Ability to work independently and as part of a team.
  • Effective communication skills for working with vendors, customers, and internal teams.

Education & Experience:

  • Certificate, Diploma, or Degree in Accounting, Finance, Bookkeeping or related field preferred.
  • 2+ years of experience in bookkeeping or accounting.

Hours of Work: M-F, 9-5

Probationary Period: 3 months

Requirements: Phone, Portable Computer, Printer (at home). Criminal Record Check.
