The Tŝilhqot'in National Government is based in Williams Lake, British Columbia serving six communities, including ʔEsdilagh, Tl'etinqox, Tl'esqox, Tŝideldel, Xeni Gwet'in, and Yuneŝit'in. The Tŝilhqot'in National Government's mission is to support and empower Tŝilhqot'in peoples to exercise their rights to self-determination within their traditional territories in ways which reflect Tŝilhqot'in philosophy, values, experience and culture.
The Fleet and Facilities Coordinator will work closely with the Facilities and Fleet Manager and provide high level support including, scheduling vehicle maintenance, tracking fleet usage and costs, coordinating building repairs and inspections and overseeing vendor contracts.
Key Responsibilities
- Coordinate routine maintenance, inspections, and repairs for fleet vehicles
- Renewing fleet insurance and ensuring proper documentation is in each unit
- Ordering and checking stock of seasonal materials such as sidewalk salt
- Ensuring all pooled vehicle safety and first aid kits are stocked monthly checks
- Support in the operation of security systems and the set up for new employees
- Track vehicle usage, mileage, fuel logs, and maintenance records
- Assist with scheduling vehicle availability
- Track and manage assets related to fleet and facilities (e.g., keys, access cards, equipment)
- Liaise with HR, IT, and other departments to support onboarding/offboarding
- Maintain relationships with service providers/contractors and ensure compliance with contract terms
- Assist in reviewing and renewing service contracts for fleet and facility operations
- Ensure all fleet documentation is up to date (registrations, insurance, etc.)
- Coordinate routine repairs, cleaning, and basic upkeep of facilities.
- Support the setup of workspaces, furniture moves, and office reconfigurations
- Schedule and oversee service appointments with approved vendors
- Maintain records of work orders, inspections, and service logs
- Assist in the preparation of reports, presentations and other relevant materials
- Prepare travel expense claims, purchase orders, expense reports and work visa statements with receipts
- Support in budget preparation and processing invoices
- Other duties as assigned
Requirements
- A minimum of 2 years of experience in an administrative role
- Superior verbal and writing skills
- Proficiency with Microsoft Office software
- Exceptional organizational skills
- Ability to work independently and make sound, informed decisions
- Proven ability to maintain confidentiality
- Strong attention to detail and accuracy
- Proven ability to build effective working relationships
- Valid class 5 drivers license
Working Conditions
- Travel will be required
- Ability to work independently or as part of a team
- Manual dexterity required to use desktop computer and additional hardware
- Overtime as required
- Lifting or moving up to 25lbs may be required
