The Role

We are currently searching for a Fleet & Equipment Coordinator, reporting to the Sr. Manager, Fleet & Transportation. This is a full- time, permanent opportunity. The Fleet & Equipment Coordinator is a key contributor to the safe, efficient, and compliant operation of our fleet and material handling equipment. This role manages critical processes that keep our transportation network running smoothly, including tracking, reporting, and compliance activities across The Beer Store (TBS) and Brewers Distributor Ltd. (BDL) sites. Acting as a central point of coordination, the Fleet & Equipment Coordinator supports strategic fleet initiatives, ensures regulatory requirements are met, and drives continuous improvement to optimize utilization and reduce costs

Location

Our Corporate Office is located in Bolton, ON. We offer a hybrid work model with visits into the office a minimum of three times per week and on an as-needed basis depending on the role and function.

What You'll Be Doing
  • Maintain accurate records for incident reports, insured drivers, and fleet data across TBS and BDL
  • Administer the Cetaris system, including user setup, equipment updates, and deactivation of inactive assets
  • Coordinate the sale of used equipment, ensuring proper documentation, payment collection, and asset removal
  • Prepare and distribute monthly fuel utilization, CVOR, FSC, and compliance reports for TBS and BDL
  • Process and reconcile fleet-related invoices and rebates, ensuring accuracy and timely reporting
  • Manage annual licensing and insurance renewals for all sites, collaborating with provincial agents and internal teams
  • Ensure compliance with municipal requirements, including obtaining parking decals and inspection documentation
  • Support continuous improvement initiatives by analyzing workflows and recommending process enhancements
  • Provide operational support to sites and assist Fleet & Transportation leadership with projects and reporting
  • Monitor driver compliance, including license renewals and abstract reviews, escalating concerns as needed
  • Perform other related duties and projects as assigned
Who You Are - Your Knowledge, Skills & Experience
Education
  • Post-secondary education in Logistics, Supply Chain, Business or related fields
  • Certification in Fleet Management or Transportation Safety is an asset
Experience
  • 2-5 years' experience managing vehicle fleets, heavy equipment and/or Material Handling Equipment
  • Experience with Fleet Management Systems and/or Computer Maintenance Management Systems such as Cetaris, Ortec, Geotab, etc. with strong skills in creating and editing documents and spreadsheets for tracking and reporting
  • Experience working within an environment focused on implementing and maintaining CI programs
Skills
  • Excellent communication skills and the ability to interact professionally and positively with multiple departments, vendors and auditors
  • Advanced MS Office – proficiency in Word, Outlook, PowerPoint and emphasis on Excel and Power BI
  • Excellent problem-solving and analytical skills
  • Excellent time management and multi-tasking skills with strong attention to detail
  • Highly motived, enthusiastic, self-starter, pro-actively identifying and resolving issues and areas of improvement
  • Knowledge of movement of goods and use of MHE
  • Strong knowledge of applicable provincial legislation in all 5 operating provinces, ON, MB, SK, AB, and BC
  • Coordinate with Finance and Procurement teams to optimize fleet-related expenditures and budgeting
  • Develop and maintain fleet performance dashboards using Power BI to support data-driven decision-making
