Overview

We are seeking a highly organized and motivated Medical Office Manager to oversee the daily operations of our office. The ideal candidate will possess strong supervisory skills and have a solid background in administrative tasks, bookkeeping, and human resources. Knowledge of Accuro and medical terminology is an asset. This role requires excellent communication and organizational abilities to ensure smooth office functioning and effective team management.

Key Job Duties

Office Administration

  • Oversee daily operations of the medical clinic
  • Maintain patient records and ensure compliance of HIPAA
  • Order and manage inventory of office and medical supplies
  • Monitor and improve workflow efficiency
  • Keep track of equipment and devices including licenses and managing office inventory
  • Liaise with vendors regarding equipment and supplies
  • Maintain inventory of surgical specialty lenses, invoicing of patient and vendor payments (Excel)
  • Able to fill in other positions as needed

Staff Supervision and HR

  • Hire, train and supervise receptionists, ophthalmic technicians, and other administrative personnel
  • Create staff schedules and manage time-off requests
  • Conduct performance reviews and ongoing training
  • Handle disciplinary actions or conflict resolution
  • Schedule staff to meet operational requirements
  • Knowledge of human resource management principles and practices

Financial Management

  • Manage budgets and office expenses with monthly reconciliations
  • Required knowledge of Excel and Quick Books online
  • Monthly bank deposits
  • Execute monthly payroll ( Wagepoint)
  • Office accounts payable, track all payments and expenditures including purchase orders, invoices, and statements

Compliance and Regulatory Oversight

  • Ensure the office complies with healthcare regulations and standards ( HIPPA, OSHA, etc.)

Patient Relations

  • Address patient complaints or concerns professionally
  • Ensure high standards of customer service across staff
  • Work with providers to enhance the patient experience

Technology and Systems Management

  • Oversee the use of Accuro, Electronic Health Records (EHR) system
  • Train staff on all equipment, new systems, and software
  • Troubleshoot basic IT issues or coordinate with tech support

Communication and Coordination

  • Act as liaison between physicians, staff, patients, and vendors
  • Attend meetings and communicate changes or update to staff

Job Requirements

  • Proven experience in an office management roll with strong clerical and administrative skills
  • Supervising experience is essential; previous experience in team management is highly desirable
  • Strong human resources knowledge, specifically employee relations
  • Excellent communication skills with the ability to interact effectively at all levels of the organization
  • Attention to detail in managing multiple tasks
  • Adaptability, decision making, stress tolerance and common sense

Job Types: Full-time, Fixed term contract

Contract length: 6-9 months

Pay: $58,000.00 per year
