Job Summary

We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, clerical, and communication skills, with experience in supervising staff and managing office systems. This role is vital in ensuring smooth workflow, efficient vendor management, and effective team coordination within a dynamic office environment.

Duties

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professional phone etiquette
  • Oversee administrative tasks such as filing, data entry, and maintaining organized records
  • Supervise office staff and coordinate team management activities to promote a productive work environment
  • Handle human resources functions including onboarding, training & development, and employee record keeping
  • Manage bookkeeping responsibilities using QuickBooks for invoicing, expense tracking, and financial reporting
  • Oversee payroll processing to ensure timely and accurate employee compensation
  • Coordinate vendor management activities, including ordering supplies and maintaining supplier relationships
  • Assist with budgeting processes and monitor office expenses to stay within financial guidelines
  • Support other administrative functions as needed to ensure operational efficiency

Qualifications

  • Proven experience in office administration or related roles with strong clerical and organizational skills
  • Supervising experience is preferred, demonstrating leadership capabilities in managing teams
  • Proficiency in QuickBooks, Microsoft Office Suite, and familiarity with multi-line phone systems
  • Experience with human resources functions such as onboarding, training & development, and payroll processing
  • Excellent communication skills with professional phone etiquette and interpersonal abilities
  • Strong organizational skills with attention to detail in filing, record keeping, and vendor management
  • Ability to handle multiple tasks efficiently in a fast-paced environment
  • Prior office experience including bookkeeping or administrative experience is highly desirable
  • Demonstrated ability to manage time effectively and prioritize responsibilities

Job Types: Full-time, Part-time

Pay: $25.00-$32.00 per hour
