The Opportunity

Reporting directly to the Payroll Supervisor, this role is responsible for supporting the payroll process, maintaining the accuracy of our employee data in our HRIS, and delivering customer service to People Service business groups. These tasks will be completed while ensuring compliance with Corporate Policies, Collective Agreements and Legislative requirements while consistently maintaining the highest level of confidentiality.

As the Specialist, Payroll & HRIS, you will perform the following duties, including but not limited to:

  • Payroll:
    • Process bi-weekly hourly & salaried payroll and ensure accuracy of employee information, pay rates, hours worked and statutory pay (when applicable)
    • Maintain and validate payroll system records, including new hires (OMERS enrolments), transfers, rate changes and terminations.
    • Assist in calculation of special payments, such as termination payouts, vacation pay, and retroactive pay.
    • Review and audit employee timecards in the UKG Workforce Management system (WFM), respond to related inquiries and resolve discrepancies.
  • HRIS:
    • Support with employee data input and employee source data management within the Human Resources Information System (HRIS), including new hires, terminations, salary changes, and position changes, etc.
    • Responsible for all employee file maintenance and updates, both electronic and paper based, for all Town of Caledon employees, including Volunteer Fire Fighters and Volunteers
    • Manage the records and retention of employment files using the Ontario Municipal Records Management System
  • Perform additional duties and undertake special projects as assigned

The Ideal Candidate

We are seeking an experienced professional with a post-secondary diploma in Business, Human Resources, Accounting and Payroll, or closely related field. Our ideal candidate has a minimum of two (2) years related experience in human resources with a strong focus on HRIS maintenance and Payroll. Canadian Payroll Compliance Practitioner (PCP) designation and/or Certified Human Resources Professional (CHRP) designation is an asset.

The ideal candidate will have experience with UKG or a similar payroll/HRIS system. We are seeking an individual who has excellent verbal and written communication skills with the ability to give, obtain and/or exchange routine information.

The successful candidate for Specialist, Payroll & HRIS will be required to work a flexible schedule, including in the office, remotely and after hours (as required).

This position offers a salary range of $78,683.40 to $98,354.25 plus a competitive benefit package.

Satisfactory passing of a criminal record check, and proof of qualifications will be required of any successful candidate(s) for this position.
