We are seeking a highly organized and detail-oriented Payroll Specialist to manage and execute multi-jurisdictional payroll functions (CAD, USD, BBD) and support related financial reporting and compliance activities. This role requires proficiency in ADP, MyLegacy, HiBob HRIS, Chrome River expense solution, and Business Central. The Payroll Specialist will work closely with HR and Finance teams to ensure accurate, timely, and compliant payment processing.
**This is a 12 month contract
What You'll Do Here:
- Receive and process employment changes (new hires, terminations, salary adjustments, leaves) via HRIS notifications and reconcile payroll period changes
- Manage, calculate, and input Long-Term Disability (LTD) premiums into the employee's ADP pay profile based on the SunLife calculator.
- Assist with the annual T4 process, including running the necessary reports and completing the required reconciliation checks
- Employee Inquiries: Assist employees with paystub breakdowns, ADP account access issues (e.g., resetting password, sending welcome letters), and providing T4 copies.
- Pull all required support (e.g., signed employment letters, termination letters, leave documentation, bonus/commission approvals) from HRIS or ad-hoc emails and organize them for audit and review purposes
- Input completed payroll information into ADP and ensure ADP profiles are updated for new hires and terminated employees.
- Manage the ADP Code Reconciliation process between ADP and HRIS every period to ensure proper classification of compensation expenses
- Complete and file payroll tax requirements in each payroll jurisdiction
- Process Records of Employment (ROEs) post-submission and handle inquiries from Service Canada
- Prepare the payroll journal entry for each jurisdiction for each pay period to be reviewed by the Finance team to keep accounting records up to date
- Assist with General ledger reconciliations and monthly variance analysis for compensation accounts
- Assist with year-end external audit requests as they relate to payroll and employees
You Need To Have:
- 4 years of payroll processing experience, with at least 2 years managing multi-country payroll
- Proven experience processing payroll adhering to regulatory requirements for both Canada and the United States
- Proficiency with ADP, including creating and submitting payroll cycles, running reports, and managing employee profiles
