Job Summary

Bergeron Construction, a growing General Contractor, is seeking a versatile and proactive Office Administrator to join our small team. This is a "jack-of-all-trades" role suited for someone who enjoys variety and is comfortable supporting both the office and field operations.

You will be responsible for the varied accounting cycle, navigating the municipal permit process, and handling a wide range of administrative tasks required to keep a small construction business running smoothly. The ideal candidate is a self-starter who can learn new processes independently.

Key Responsibilities

  • Accounting & Bookkeeping: Manage all Accounts Payable (AP) and Accounts Receivable (AR) using Sage 50 (Simply Accounting); ensure accurate record-keeping and timely payments.
  • Permit Coordination: Gather building requirements and technical documents; obtain and submit applications for building permits, utility locates, and other necessary approvals.
  • Meeting Support: Set up internal and external meetings; attend to take and distribute detailed minutes.
  • Varied Administrative Support: Assist with diverse tasks to support the owner and project managers, which may include, organizing project files, or conducting basic on-site checks (e.g., verifying site signage or safety postings).
  • Office Operations: Manage daily correspondence, filing, and other general office duties as required.

Required Skills & Experience

  • Experience: Minimum 3 years of experience in a similar administrative role, preferably within the construction or trades industry.
  • Software Proficiency: Fluent, high-level knowledge of Sage 50 / Simply Accounting is mandatory.
  • Bookkeeping: Solid understanding of proper bookkeeping practices.
  • Resourcefulness: A proven ability to research requirements and learn new tasks or software independently.
  • Attention to Detail: Meticulous accuracy in document preparation and financial data entry.
  • Reliable Transportation: Must have a valid driver's license and a personal vehicle for occasional off-site visits and errands.

Schedule & Compensation

  • Initial Schedule: 3 days per week (approximately 24 per week).
  • Growth Potential: Potential to grow into a full-time role as company volume increases.
  • Compensation: $25.00 to $30.00, per hour depending on experience, plus [insert mileage reimbursement details].

Il s'agit d'un rôle de type « touche‑à‑tout », idéal pour une personne qui aime la variété et qui est à l'aise de soutenir à la fois les opérations de bureau et de chantier.

Vous serez responsable du cycle comptable varié, de la navigation dans le processus de permis municipaux et de la gestion d'un large éventail de tâches administratives nécessaires au bon fonctionnement d'une petite entreprise de construction. Le ou la candidat(e) idéal(e) est autonome et capable d'apprendre de nouveaux processus de manière indépendante.

Responsabilités principales

  • Comptabilité & tenue de livres : Gérer les comptes fournisseurs (AP) et les comptes clients (AR) à l'aide de Sage 50 (Simple Comptable) ; assurer l'exactitude des dossiers et le respect des échéances de paiement.
  • Coordination des permis : Rassembler les exigences de construction et les documents techniques ; préparer et soumettre les demandes de permis de construire, de localisation de services publics et autres approbations nécessaires.
  • Support aux réunions : Organiser les réunions internes et externes ; assister pour prendre et distribuer des comptes rendus détaillés.
  • Support administratif varié : Aider avec diverses tâches pour soutenir le propriétaire et les gestionnaires de projet, notamment l'organisation des dossiers de projet ou des vérifications de base sur les chantiers (ex. : vérifier la signalisation ou les affichages de sécurité).
  • Opérations de bureau : Gérer la correspondance quotidienne, le classement et d'autres tâches administratives générales selon les besoins.

Compétences et expérience requises

  • Expérience : Minimum de 3 ans dans un rôle administratif similaire, idéalement dans l'industrie de la construction ou des métiers.
  • Maîtrise des logiciels : Connaissance approfondie et fonctionnelle de Sage 50 / Simple Comptable obligatoire.
  • Tenue de livres : Solide compréhension des pratiques comptables appropriées.
  • Débrouillardise : Capacité démontrée à rechercher des informations et à apprendre de nouvelles tâches ou logiciels de manière autonome.
  • Souci du détail : Grande précision dans la préparation de documents et la saisie de données financières.
  • Transport fiable : Permis de conduire valide et véhicule personnel requis pour des visites occasionnelles hors site et des courses.

Horaire et rémunération

  • Horaire initial : 3 jours par semaine (environ 24 heures par semaine).
  • Possibilité d'évolution : Possibilité de passer à un poste à temps plein selon la croissance du volume de travail.
