We are seeking a detail-oriented, experienced
Deltek Ajera Bookkeeper/Project Accounting Specialist
to manage day-to-day bookkeeping functions and support project financial tracking and reporting in Deltek Ajera.

Position Summary

This role is responsible for
full-cycle bookkeeping
and
project-based financial management
using
Deltek Ajera
. The ideal candidate is comfortable working in a professional services environment where accurate project setup, time & expense tracking, billing, and financial reporting are critical to operational success.

You will work closely with the firm's leadership and project managers to ensure financial accuracy, timely invoicing, and strong visibility into project performance.

Key Responsibilities

Bookkeeping & Financial Operations

  • Perform
    full-cycle bookkeeping
    , including:
  • General ledger entries
  • Bank and credit card reconciliations
  • Journal entries and monthly close activities
  • Manage
    Accounts Payable (AP)
    :
  • Vendor invoice processing
  • Expense coding and approvals
  • Payment processing and tracking
  • Manage
    Accounts Receivable (AR)
    :
  • Client invoicing (percentage-based, time & expense, and lump sum)
  • Payment receipt and application
  • AR aging and follow-up coordination

Deltek Ajera Project Accounting & Management

  • Set up and maintain
    Ajera projects
    , phases, and tasks
  • Ensure accurate
    time and expense entry
    , validation, and allocation
  • Track
    project budgets, labour, expenses, and consultant costs
  • Monitor and report on:
  • Project profitability
  • Work-in-progress (WIP)
  • Write-ups / write-downs
  • Coordinate with project managers to support:
  • Accurate billing
  • Budget forecasting
  • Financial status reporting

Reporting & Controls

  • Generate regular financial and project reports from Ajera, including:
  • Project performance summaries
  • AR / AP reports
  • Monthly financial statements
  • Support year-end financial preparation and coordination with external accountants
  • Maintain organized financial and project documentation
  • Assist with process improvements related to accounting and Ajera workflows

Qualifications

  • Proven experience with Deltek Ajera
    (required)
  • 3+ years of bookkeeping or project accounting experience, preferably within:
  • Architecture, Engineering, or Consulting (AEC) firms
  • Strong understanding of:
  • Project-based accounting
  • Time & expense billing
  • Professional services invoicing
  • High attention to detail and strong organizational skills
  • Ability to work independently in a small, professional consulting environment
  • Proficiency with Microsoft Excel and standard accounting practices

Preferred

  • Experience supporting small to mid-sized consulting or engineering firms
  • Understanding of consulting project lifecycles and fee structures
  • Prior experience working with senior project managers and principals
