Position Summary
The Field Accounting Clerk plays a key administrative role in supporting daily timekeeping and workforce tracking at the Irving Oil site. Reporting to the Business Manager, this position is responsible for ensuring that time records are accurately captured, reconciled, and processed in alignment with payroll requirements and internal controls. This role demands a high level of accuracy, discretion, and collaboration with field supervision and site management.

Key Responsibilities

  • Post, verify, and reconcile daily hours for all CAM site employees and contractors.
  • Identify and correct discrepancies in submitted time entries; escalate issues as required.
  • Process new hires, terminations, job changes, and other personnel updates in relevant systems.
  • Generate and validate timesheet extracts and payroll reports for processing.
  • Maintain organized and confidential records, including employee files and timesheet folders.
  • Collaborate with site supervision, project leads, and head office payroll teams to resolve timekeeping concerns promptly.
  • Support internal audits and ensure adherence to company policies and internal controls.
  • Participate in process improvement initiatives aimed at improving accuracy and efficiency.
  • Perform additional administrative duties as directed by the Business Manager.

Qualifications

  • 2+ years of experience in timekeeping, payroll support, or field administrative roles; experience in an industrial or construction environment is preferred.
  • Proficiency in Microsoft Excel (pivot tables, VLOOKUPs, and basic formulas required).
  • Experience with payroll/timekeeping systems such as Dayforce is considered a strong asset.
  • Exceptional attention to detail and ability to work under tight deadlines.
  • Excellent interpersonal and communication skills.
  • Ability to handle sensitive information with professionalism and discretion.
  • Strong team player who thrives in a dynamic, site-based setting.
  • Willingness to work extended hours during peak project periods.
