Job Description

The Order Entry – Customer Service Specialist, is responsible for the order process, including order intake, invoicing and coordination with internal departments. This role is the main point of contact for customers, answering emails and inquiries regarding product and orders and requires a high level of customer service and detail orientation. Additionally, this role, will support the office by answering the telephone, greeting guests and other areas as required. Key areas of responsibility are:

  • Accurately and efficiently process customer orders in the Syspro system, ensuring timely order entry, order confirmations, and generation of production jobs and WIPs.
  • Serve as the main point of contact for customers, responding to inquiries related to products, order status, pricing, and issue resolution.
  • Prepare and process invoices to customers in a timely manner.
  • Maintain accurate data management and reporting, including order tracking and data entry using Excel.
  • Communicate effectively within departments, including sales and production teams.
  • Providing overflow and backup support for shipping documentation and outgoing logistics as required.
  • Maintain a high level of professionalism and build positive customer relationships by acting as a reliable "go-to" contact for customer ordering needs.
  • Support general office operations, including answering telephone calls, greeting guests, and assisting with administrative tasks.
  • Perform additional duties as required.

Qualification and Skills:

  • Strong attention to detail and accuracy in data entry
  • Excellent customer service and communication skills (both written and verbal).
  • Previous experience within ERP systems (Syspro preferred) and Excel and Google office suite.
  • Previous experience within customer service roles and/or shipping & receiving is preferred
  • Ability to manage multiple priorities ad meet deadlines in a fast – paced environment
  • Professional demeaner with both internal teams and external customers.
  • Self -starter with ability to work independently
  • Sharp, analytical, and thoughtful. Has sound judgment and thoroughly thinks through problems to come up with solutions;
