About the Role
Reporting to the Proposal Manager, the
Proposal Specialist
leads the full proposal management lifecycle—including RFPs, RFIs, and other client requests—while producing high-quality, customer-focused content. Working within the Buildings Division, the successful candidate will plan, coordinate, and execute a wide range of proposal activities and act as a key liaison to internal stakeholders throughout the process.
This individual will also contribute to team planning and discussions, demonstrating a solid understanding of overall business goals and priorities.
Key Responsibilities
- Implement established proposal management processes to ensure all submissions are high quality, compliant, and effectively communicate the organization's capabilities and value.
- Analyze solicitation documents, identify deliverables, build and maintain a compliance matrix, and create detailed proposal schedules with milestones.
- Lead and facilitate internal proposal meetings, outlining responsibilities, schedules, win strategies, key themes, and differentiators.
- Develop compelling, compliant, and client-focused responses to proposal requirements.
- Collaborate closely with internal subject matter experts to ensure accuracy and value in proposal content.
- Develop practical and strategic solutions aligned with proposal objectives and business goals.
- Edit and refine narratives for clarity, consistency, readability, and alignment with a unified voice.
- Maintain and update the proposal content library, including resumes and project descriptions.
- Support the Business Development team with market research, competitive analysis, and pipeline management.
- Assist with the creation of external marketing collateral in coordination with Communications teams.
- Manage client communications throughout the proposal process, including downloading and distributing RFP documents, participating in client meetings, submitting clarification questions, and coordinating post-bid responses.
Qualifications & Experience
- Completion of a diploma or bachelor-level degree.
- APMP Certification (completed or in progress) is considered an asset.
- 5–7 years of experience in proposal management.
- Background in large or complex proposal submissions considered an asset.
- Strong experience in narrative development, proofreading, editing, and formatting.
- Ability to manage competing deadlines and prioritize effectively in a fast-paced environment.
- Proficiency in Adobe Suite, Microsoft Office, and SharePoint; advanced skills in InDesign are preferred.
- Exceptional communication and writing skills, with the ability to interpret and articulate technical construction information.
