The Accounts Payable representative is involved in the full cycle accounts payable process, ensuring timely and accurate processing of invoices, expense reports, and other financial transactions. This role involves maintaining vendor relationships, reconciling accounts, and supporting the overall financial operations of the organization.

Responsibilities

  • Review, code and input invoices for multiple entities and vendors
  • Match purchase orders, invoices and packing slips and post into the ERP
  • Set up new vendors and manage existing vendor records in accounting system
  • Respond to vendors for payment and account reconciliation related inquiries
  • Reconcile AP ledger accounts, corporate credit accounts and vendor accounts
  • Back up for weekly payment runs
  • Maintain filing systems
  • Archive AP files at year end and create new AP files for the new fiscal year
  • Support the month-end and year-end close processes
  • Support the department in implementing policies and procedures and ensuring they are followed
  • Ensure compliance with company policies and internal controls
  • Perform additional clerical or other related duties as required

Qualifications

  • Some experience in Accounts Payable or similar function
  • Some experience with full cycle AP closing/month end processes
  • Preference for candidates with a business or finance diploma and/or certificate or equivalent experience
  • General knowledge of accounting principles an asset
  • Understanding of Canada's federal and provincial sales taxes and asset
  • Advanced Excel skills, including pivot tables, V-Lookup
  • Ability to multi-task and work effectively under tight deadlines
  • Detail-oriented with a high level of accuracy
  • Excellent prioritization and organizational skills
  • Excellent interpersonal and communication skills, both written and verbal
  • Experience with Microsoft Dynamics AX and asset
  • Ability to work independently and as part of a team
