Position Summary

The Client and Administrative Services Coordinator is responsible for delivering front-line client service and providing a range of administrative support to the firm.  This role combines reception and client-facing duties with general administrative responsibilities and basic legal assistant tasks.  The position plays an important role in supporting lawyers, staff, and daily firm operations.

Key Responsibilities

Client Service & Reception


•      Greet and assist clients and visitors in a professional manner.


•    Manage front desk operations, incoming calls, payment processing, mail distribution and email inquiries.


•      Oversee boardroom bookings and resolve scheduling conflicts.


•      Maintain reception and common areas, ensuring they are clean and organized.


•      Coordinate security procedures for visitors and deliveries.


•      Assist with event and meeting setups, including catered functions.

Administrative Support


•      Provide general administrative support to lawyers, staff, and management.


•      Prepare and format correspondence, forms, and standard legal documents under direction.


•      Manage file openings, document organization, and scheduling deadlines.


•      Handle scanning, copying, filing, and data entry.


•      Monitor office supplies and support mail, courier, and storage processes.


•      Maintain confidentiality and follow firm policies and procedures at all times.

Qualifications & Skills


•      1–2 years of administrative or client service experience, preferably in a professional environment.


•      Law firm or legal office exposure is an asset but not required.


•      Proficiency in Microsoft Office (Word, Outlook, Excel); ability to learn new software.


•      Excellent interpersonal, communication, and organizational skills.


•      Ability to manage multiple priorities, work independently, and exercise good judgment.


•      Professional demeanor and commitment to client service.


•      Discretion in handling confidential information.
