Overview

The Administrative Assistant contributes to the success of PepsiCo Beverages Canada by providing general administrative support for the  Thunder Bay, Ontario branch and surrounding regional branches. The ideal candidate will be highly skilled and highly energetic, while possessing problem solving skills and the ability to work autonomously

Responsibilities
  • Create a welcoming and warm environment for PepsiCo Beverage visitors and contractors
  • Answer and direct incoming calls in a professional and pleasant manner
  • Create presentations in PowerPoint and manage office communications
  • Manage all incoming and outgoing mail
  • Manage calendars and schedules of management team
  • Ability to support on weekly payroll for multiple locations
  • Assist with health and safety training and documentation management
  • Assist with onboarding of hourly and salaried employees
  • Process settlements including all cash and paperwork
  • Respond to all customer inquiries
  • Assist in location specific initiatives, including organizing employee events and liaising with internal and external service providers
  • Perform general administrative support work such as running reports, copying, filing, faxing, etc.
  • Maintain and order office supplies
  • Provide ongoing support for the local and regional management team
  • Organize meetings and travel arrangements
  • Process travel and local cost expenses
  • Responsible for control and compliance reporting on a weekly and periodic basis
Qualifications
  • Five years of administrative experience required
  • Successful completion of an administrative/office management program preferred
  • Successful completion of high school diploma required
  • Successful completion of payroll courses preferred
  • Experience with Kronos and SAP an asset
  • Professional accomplishments that reflect self-motivation and initiative 
  • Strong proficiency with MS products, specifically: Word, Excel, PowerPoint, and Outlook required
  • Excellent communication and customer service skills required
  • Ability to multi-task is essential
  • Attention to detail and strong organizational skills required
  • Must be self-motivated, punctual with demonstrated professional maturity
