Job Overview

We are looking for a professional Receptionist & Conveyancing Assistant to join our team. As the first point of contact for our company, you will manage front-desk operations and provide key administrative support to our conveyancing department.

We are looking for someone with fluent English communication skills who can professionally handle high-volume business calls and effectively manage client inquiries.

Key Responsibilities

1. Front Desk & Client Communication

  • Call Handling: Act as the primary operator for incoming calls. You must be able to screen calls, handle business inquiries fluently, and direct them to the appropriate staff.
  • Client Inquiries: Provide accurate information regarding our business services to clients via phone and email.
  • Reception: Warmly welcome clients and visitors, maintaining a tidy and professional reception area.
  • Mail & Courier: Manage incoming and outgoing mail, courier packages, and deliveries.

2. Conveyancing Support

  • File Management: Assist in opening new conveyancing files and organizing physical/digital records for sales, purchases, and refinancing.
  • Documentation: Assist in preparing and formatting basic legal documents and correspondence.
  • Liaison: Communicate effectively with banks, real estate agents, and strata management companies to request and follow up on necessary documents.
  • General Admin: Provide general administrative support such as scanning, photocopying, and data entry.

Qualifications

  • English Fluency (Essential): Excellent command of spoken and written English. You must be confident and articulate when speaking with clients and professionals over the phone.
  • Experience:
  • Minimum 1+ years of administrative or receptionist experience.
  • Previous experience in a Conveyancing, Law Firm, or Real Estate environment is strongly preferred.
  • Skills:
  • Proficient in Microsoft Office (Outlook, Word, Excel).
  • Strong organizational skills and attention to detail.
  • Ability to work independently and prioritize tasks.

Nice to Have:

  • Language: Proficiency in Chinese (Mandarin or Cantonese) is considered a strong asset.

Job Type: Full-time

Pay: From $40,000.00 per year
