True Self Counselling is a rapidly growing psychotherapy practice specializing in women's mental health, emotional wellbeing, and trauma-informed care. Our team includes ~40 clinicians, a client care coordinator, an HR/hiring coordinator, and external partners for tech, media, and bookkeeping. We are expanding and looking for an Operations & Executive Assistant who genuinely cares about mental health and wants to be part of a mission-driven team. You'd be working directly with the owner (me - hi).

This role is ideal for someone who loves organization, precision, operations, and supporting a founder in running a large, fast-paced mental health practice. If you thrive in a detail-oriented role and value meaningful work, this position is for you.

Key Responsibilities

Administrative & Executive Support

  • Send professional emails and communication on behalf of the founder
  • Pull monthly bank statements and required documents for bookkeeping
  • Manage calendars and ensure clinicians' caseloads remain full
  • Coordinate with team members and understand each person's responsibilities

Business Operations & Tracking

  • Pull and organize reports across various internal systems
  • Track business metrics and operational performance
  • Maintain oversight of workflows and ensure nothing slips through the cracks
  • Keep a close "pulse" on the business and help anticipate needs

Social Media & Content Support

  • Light editing and posting of social media reels (content fully provided)
  • Organize digital media assets and maintain posting schedules

General Operational Support

  • Assist with analytics, tracking, and system improvements
  • Support the founder with day-to-day organizational needs
  • Step in wherever needed to reduce overwhelm and maintain smooth operations

This role is in development - I'm more than happy to work with you directly to facilitate your learning and growth in the directions you desire.

Time Commitment & Workload

This is a part-time independent contractor position, generally 10–20 hours per week, depending on operational needs. There is potentially room for this to grow into a full-time position, as business needs require.

This role requires someone who is reliable, responsive, and able to make this job a priority.

Qualifications & Experience

Required:

  • Strong organizational skills and attention to detail
  • Experience as an EA, Operations Assistant, Project Manager, or similar
  • Tech-savvy and quick to learn new systems
  • Really good with Excel and not scared of data (I can help you with it at first)
  • Ability to work independently, anticipate needs, and problem-solve
  • Comfort working in a mental-health environment and handling sensitive information

Preferred:

  • Prior experience in a service-based or mental-health organization

Most importantly, you should have a genuine interest in mental health and understand the importance of supporting a practice that serves women every day.
