As the Billing Officer, you will be responsible for managing the full progressive invoicing cycle and processing all incoming payments. You will work closely with the project management, credit, and collections teams to ensure accuracy, compliance, and timely cash flow.

Main Responsibilities
  • Create and maintain detailed billing schedules based on client-specific criteria.
  • Issue accurate and timely invoices according to project billing plans using SAP Business One.
  • Collaborate with project managers to prepare monthly progressive billing for General Contractors (AIA format), and submit invoices through platforms such as Textura, Procore, and GCPay.
  • Assist in processing approved credit notes and back charges on projects.
  • Handle all required documentation for General Contractor billing, including collecting signatures and notarizations via DocuSign or manual processes, per contract requirements.
  • Process daily payments, including checks, credit cards, and wire transfers, and apply them in SAP Business One.
  • Reconcile project accounts to ensure final billing matches the agreed project total.
  • Respond promptly to client inquiries regarding invoices, statements, and payment processes.
  • Work closely with internal teams to resolve billing discrepancies.
  • Partner with the collections and credit teams to ensure timely follow-ups and payment resolution.
Qualifications & Skills
  • Minimum 5 years of experience in a billing role, ideally within the construction industry (an asset).
  • Strong attention to detail, analytical mindset, and time management skills.
  • Ability to work under pressure and meet tight deadlines.
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word).
  • Experience with SAP Business One is an asset.
  • Excellent communication skills and team spirit.
  • Fluency in French and English is required (spoken and written).
