Job Overview

We are seeking an organized and detail-oriented Administrative Clerk to join our real estate law team. The ideal candidate will provide essential administrative and clerical support to ensure efficient handling of real estate transactions from file opening to closing. This position requires strong communication skills, familiarity with real estate documentation, and the ability to work collaboratively in a fast-paced legal environment.

Duties

  • Open and prepare new real estate files, ensuring all client and property information is accurately recorded.
  • Communicate with clients, lenders, real estate agents, and other parties to obtain required details and documentation.
  • Manage and update files using legal practice management software such as LEAP, and Slack for internal coordination.
  • Prepare closing documentation, final reports, and correspondence for review and signature.
  • Coordinate with banks and mortgage representatives to verify mortgage instructions, disburse funds, and confirm payouts.
  • Maintain organized electronic and physical filing systems for all transactions.
  • Track key dates and ensure timely follow-ups for closing schedules and document submissions.
  • Handle confidential information in compliance with firm and regulatory requirements.
  • Support lawyers and clerks with administrative tasks as needed to facilitate smooth file progression.

Skills

  • Proficiency in legal management software such as Clio, LEAP, and document-sharing platforms like Slack.
  • Strong understanding of real estate transaction processes, including file opening, mortgage instructions, and closings.
  • Excellent communication and client service skills with a professional phone manner.
  • High attention to detail and accuracy in data entry and document preparation.
  • Strong organizational abilities to manage multiple active files efficiently.
  • Working knowledge of Microsoft Office and general office technology.
  • Prior administrative experience in a law firm, particularly in real estate, is highly desirable.

Job Type: Full-time

Pay: $19.00-$28.00 per hour

Expected hours: 35 – 40 per week
