Job Summary

The project coordinator is responsible for coordinating the day-to-day operations of multiple concurrent projects, ensuring that all administrative, logistical, and communication tasks are handled efficiently and professionally. You will be instrumental in maintaining project management systems, tracking deliverables, and ensuring compliance with internal processes and external regulatory requirements.

You will work closely with project managers, engineers, field staff, clients, and contractors to ensure that project timelines, budgets, and quality standards are met. Your responsibilities will span across project planning, document control, scheduling, procurement coordination, and client communication.

KEY RESPONSIBILITIES:

  • Assist project manager(s) in the development of project management documentation such as project budgets, schedules, scope statements and project plans
  • Assist with managing invoices, purchase orders, change orders, among other financial documents
  • Coordinate internal resources and third parties/vendors for the execution of projects
  • Coordinate with clients to assess their needs and help with defining project requirements, acceptance criteria and project timelines
  • Assign milestones to team members and ensure they understand what's expected from them in terms of deliverables and milestones.
  • Prepare and maintain project documentation including contracts, reports, meeting minutes, and submittals
  • Monitor project progress and handle any issues that may arise
  • Be the liaison between the project team and clients throughout the project lifecycle
  • Assist Project managers monitor project progress and team members' performance and provide updates to stakeholders
  • Foster cross team collaboration to help project team members complete tasks and produce deliverables

Human Resources

  • Provide feedback for career planning and performance evaluations of project team members
  • Support project manager with hiring, where required

Financial

  • Support project manager with project performance tracking and overall health of the project
  • Help to ensure project profitability is maintained and project write-offs are minimized

Safety

  • Be an ambassador for safety on all projects assigned
  • Ensure Hazard ID's are determined before any staff start work on a project

Qualifications

  • Diploma or degree in Construction Management, Building Science, Engineering, Architecture, or a related field
  • 5 years of demonstrated experience as an administrator or coordinator in a fast-paced environment
  • Organized and competent at prioritizing workload
  • Eye for detail and passion for quality
  • Proficiency with client presentations
  • Familiarity with building permit application processes across lower mainland municipalities considered and asset
  • Experienced in technical writing and quality management
  • Experienced with managing and updating a CRM

In compliance with the B.C. Pay Transparency Act, the expected salary range for this position is between $55,000 and $70,000. Multiple factors such as qualifications, overall experience and position responsibilities will be used to determine the successful candidates actual salary within the expected range.
