POSITION SUMMARY

Reporting to Director of Operations, the Medical Office Assistant will provide services to the Primary Care team with respect to administrative services to the team and clients. The MOA will work at booking appointments for members, maintaining schedules for primary care clinicians, and providing various administrative duties for the Primary Care Initiative.

Responsible for providing non-emergent primary and preventative care MOA services to the 10 North Island Nations in the communities and in urban settings. (Kwakiutl, Mamalilikulla First Nation, Dzawad'enuw First Nation, wiwsut'inuw Hxwa'mis First Nation, Gwawaenuk Tribe, Gwa'sala-'Nakwaxda'xw Nations, T'łatłasik'wala'la First Nation, Quatsino First Nation, and Da'naxda'xw First Nation.

Travel and the use of a personal vehicle are requirements of this position.

Principal Duties and Responsibilities

· Booking, coordinating and rescheduling patient appointments;

· Booking, coordinating and scheduling patient transportation; and working with the patient clerks at each First Nation health centre

· Working with Health Centre staff notifying of appointments coming to the various clinics.

· Maintaining and updating information on daily physician schedules;

· Answering incoming calls, routing calls to the appropriate area, taking and relaying messages, communicating general clinic information, and responding to emergency calls according to established procedures;

· Utilizing cultural training to have an understanding of Indigenous experience accessing healthcare; and

· Interacting in a professional and courteous manner, displaying a high level of professionalism and appropriate discretion pertaining to patient privacy.

· Ensuring that all necessary patient information is present in patients' electronic charts for daily scheduled appointments (e.g., lab results, imaging, growth charts);

· Preparing and processing outgoing correspondence (e.g., consult and follow-up letters, referral letters, scripts);

· Scanning incoming correspondence arriving by mail or fax into patient electronic charts;

· Completing and submitting required medical service billings and insurance information;

· Preparing correspondence between physician and patients, including patient letters, medication / prescription information and referrals to other care providers;

· Preparing and completing forms, including disability claims, nutritional/meal supplements, etc.;

· Maintaining patient confidentiality;

· Developing and maintaining reporting databases and reports;

· Performing daily opening and closing office procedures as assigned;

· Maintaining clinical and business office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies; scheduling equipment service and repairs;

· Assisting in the care and maintenance of office equipment;

· Maintaining operations by following policies and procedures; reporting needed changes;

· Contributing as a team player; and

· Any other duties or tasks agreed as required by the physician and Medical Centre.
