Job Summary
We are seeking a professional and organized Receptionist to join our FERO team. The ideal candidate will serve as the first point of contact for visitors and callers, providing excellent customer service and administrative support. This role requires strong communication skills, proficiency in office software, and the ability to manage multiple tasks efficiently. Experience in medical or dental office settings is a plus, but not required. The Receptionist will play a vital role in maintaining a welcoming environment and ensuring smooth daily operations.
Duties
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Maintain physical and/or virtual office and shop supplies, including stationery and inventory requirements
- Handle clerical tasks such as filing, photocopying, and organizing documents
- Handle incoming and outgoing mail, shipping, and courier services
- Maintain cleanliness and organization at the front desk, kitchen, and bathroom areas
- Oversee building maintenance, including scheduling repairs and services
- Coordinate webinars — scheduling, organizing materials and samples, arranging lunches, managing post-event procedures, and assisting with New York in-person meetings
- Manage sample and textbook inquiries
- Maintain and update marketing contact lists
- Assist with a variety of administrative and special projects assigned by Management
Experience
- Prior office experience preferred, especially in clerical or administrative roles
- Familiarity with Microsoft Office Suite (Word, Excel, Outlook) and virtual meeting platforms (Zoom, Teams, etc.)
- Experience with data entry, filing systems, and multi-line phone systems is desirable
- Customer service experience required
- Strong organizational skills with attention to detail and accuracy
- Excellent phone etiquette and communication skills
- Ability to handle multiple tasks efficiently in a fast-paced environment
