Job Overview
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role offers an opportunity to contribute to a dynamic environment, ensuring smooth workflow and efficient office functions across various departments including medical office management if applicable. The Office Administrator will serve as the central point for administrative support, vendor relations, and team coordination.
Duties
- Manage calendar scheduling and coordinate meetings, appointments, and events with precision.
- Oversee vendor management, including procurement and maintaining professional relationships.
- Handle bookkeeping tasks such as invoicing, filing, and maintaining financial records using QuickBooks or similar software.
- Supervise front desk operations, including multi-line phone systems, greeting visitors, and managing phone etiquette.
- Support human resources functions such as onboarding, training & development, and employee record keeping.
- Assist with payroll processing and budgeting activities to ensure accurate financial management.
- Maintain organized filing systems both digitally and physically for easy retrieval of documents.
- Coordinate event planning activities for company functions or client meetings.
- Supervise administrative staff or team members involved in clerical or office management tasks.
- Ensure effective communication across departments through clear correspondence and organizational skills.
- Support medical office management if applicable by handling patient scheduling, records management, and compliance documentation.
Experience
- Proven experience in office administration or office management roles.
- Strong background in clerical work with familiarity in front desk operations and multi-line phone systems.
- Experience with bookkeeping software such as QuickBooks is preferred.
- Demonstrated ability to manage schedules effectively and coordinate multiple tasks simultaneously.
- Supervising experience is a plus, especially in team management or training & development roles.
- Knowledge of vendor management processes and human resources functions is desirable.
- Excellent communication skills with professional phone etiquette and organizational skills are essential.
- Prior experience in medical office management or related fields is advantageous but not mandatory. This position requires a dedicated professional capable of multitasking efficiently while maintaining high standards of accuracy and professionalism across all administrative functions.
Job Type: Full-time
Pay: $25.00-$30.00 per hour
Expected hours: 30 – 40 per week
