Job Title: Administrative Assistant

Reports To: Toni Leroux, REALTOR & Nora Landry, REALTOR– Royal LePage Atlantic Location: Dartmouth/Halifax, Nova Scotia Employment Type: Full-Time

Position Overview

The Administrative Assistant provides essential administrative and operational support to Toni Leroux, REALTOR & Nora Landry, REALTOR– Royal LePage Atlantic. This role ensures smooth day-to-day management of real estate transactions, listings, and marketing activities. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced real estate environment.

Key Responsibilities

Transaction Coordination

  • Track and maintain all real estate sales files and documentation from listing to closing.
  • Ensure compliance with brokerage and industry regulations.
  • Communicate with clients, agents, lawyers, and vendors as needed to facilitate transactions.

Listing Management

  • Prepare, proof, and upload property listings to the appropriate MLS systems and websites.
  • Coordinate photography, staging, and other pre-listing requirements.
  • Manage updates and revisions to listings as needed.

Client Care

  • Conduct property searches based on client criteria and gather relevant property information
  • Monitor client birthdays, milestones, etc. to stay top of mind
  • Create and manage CRM including smart lists, follow ups, tagging leads, etc.

Marketing & Media Coordination

  • Collaborate with marketing staff and third-party providers to execute social media and advertising campaigns.
  • Assist with Canada Post mail-outs and general newsletter/email campaigns
  • Oversee the posting and scheduling of content across multiple platforms.
  • Support brand consistency through quality control and timely communication.

Communication & Liaison

  • Maintain ongoing communication with Royal LePage Atlantic management regarding listing and transaction status.
  • Act as a liaison between Toni Leroux, Nora Landry and other agents, vendors, and senior managers.
  • Handle confidential information with professionalism and discretion.

Qualifications

  • Proven experience in administrative support, ideally in real estate or a related industry.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Proficiency with real estate software (e.g., MLS, Lone Wolf, Dotloop), Google Workspace and Microsoft Office Suite.
  • Ability to work independently while supporting team objectives.

· Own a laptop and cellphone with reliable internet access

Compensation & Schedule

  • Salary: $40,000
  • Hours: Monday to Friday, 9am– 5pm (1-hour lunch break).
  • Working Location: Royal LePage Atlantic, Wright Ave. With an option for a work from home as discussed.
  • Vacation: 2 weeks paid annually to be used in a calendar year

Performance Review

Performance and compensation will be reviewed annually with Toni Leroux, Nora Landry Administrative Assistant.
