Overview
In this multi-faceted role, the Inventory and Warehouse Coordinator allocates inventory to fulfill customer requirements and coordinates with the warehouse and repack functions to support efficient operations. In the inventory portion of the role (approx. 75%), the Coordinator ensures product is accurately allocated to customer orders according to specifications, assists the warehouse team to maintain accurate inventory levels, and maintains capacity reports within the coolers. In the warehouse portion of the role (approx. 25%), the Coordinator moves product and picks and stages orders as needed. This role proactively communicates and collaborates with internal team members and departments to support efficient movement, storage, packaging, and handling of product while meeting service expectations and accuracy standards.

Accountabilties
Inventory
- Serves as the key liaison between the sales, quality control (QC) and operations department. Establishes effective communication and facilitates optimal collaboration between departments in all locations.
- Provides direction to warehouse and operations to load and ship product according to customer specifications, ensuring that products are accurately allocated for customer orders and that all requirements are met.
- Identifies and allocates product based on multiple factors including product rotation (days aged, etc.), market supply/demand (information from Sales and Category management), consideration to rejection rates and delivery rate targets, and logistics considerations: transportation, operations, repack/recondition production schedules, etc.
- Monitors rejection rates and strives to meet or improve on annual rejection rate targets.
- Collaborates with quality control team members to monitor product condition, using QC scores and feedback to make product allocation decisions.
- Assists with inventory control including conducting physical counts as necessary.
- Collaborates with appropriate sales and category people to make decisions on shipping. Communicates with stakeholders to make informed recommendations on shipping marginal product, cutting the order or reconditioning the product.
- Coordinates and collaborates with the repack function to drive efficiencies in the repackaging process.
- Conducts inventory counts when appropriate to ensure accurate inventory numbers.
- Assists team members with food safety requirements such as paperwork, audits and inspections; collaborates with all parties to initiate corrective actions as needed.
- Assists with daily warehouse operations to coordinate inventory movement and trucking activities in an efficient and timely manner.
- Provides high levels of service to both internal and external customers through excellence in receiving/dispatching inventory, identifying and handling issues and assuring the quality of products.
- Maintains accurate receiving, inventory, and shipping records. May document information in computerized files in accordance with company standards, policies and procedures.
Warehouse
- Performs a range of warehouse duties efficiently and accurately, including loading and unloading trucks, product handling, and maintaining proper product rotation.
- Picks, fills, and ships orders in accordance with established procedures, ensuring a high level of accuracy. Verifies order details and confirms all shipping documentation is complete and correct.
- Maintains accurate records for shipping and receiving, documenting all required information in either written logs or warehouse systems as per standard procedures.
- Supports inventory control by tracking inbound and outbound product, verifying counts, and reporting discrepancies to the appropriate team.
- Investigates and resolves inventory, shipping, or operational issues in a timely manner by coordinating with internal teams and external contacts to identify causes and implement corrective actions.
- Safely loads and unloads materials and products from transportation vehicles using appropriate handling equipment.
- Contributes to a well-organized warehouse by maintaining clear signage and ensuring products are stored in designated locations to support accessibility and workflow.
- Works collaboratively with quality control, inventory, and production teams to ensure operational objectives are met and warehouse standards are maintained.
- Promotes a safety-first culture by consistently following safe work practices and supporting a hazard-free work environment.
- Demonstrates the safe use of warehouse equipment such as pallet jacks and forklifts, performing and documenting pre-use inspections and promptly reporting any mechanical issues.
- Maintains a clean, orderly warehouse by routinely cleaning floors, racking, and surfaces to support operational efficiency and safety.
- Disposes of or recycles packing materials such as wooden crates, pallets, and cardboard responsibly, contributing to a clean and sustainable warehouse environment.
- Takes initiative to delegate tasks and provide direction to team members during peak periods or when supervisors are unavailable.
- Provides tentative shift coverage as needed to ensure workflows remain uninterrupted.
Required Knowledge & Abilities
- Strong understanding of supply chain, warehouse operations, and inventory control practices, including FIFO/FEFO rotation, shrink management, order picking, product staging, and production workflows such as repacking and labeling.
- Knowledge and experience in product grade standards and techniques of produce inspection preferred.
- Proficient in coordinating inbound and outbound logistics and order management across internal systems (e.g., Optimo) and external client platforms, ensuring accurate execution and timely fulfillment.
- Strong technical competency with hands-on experience operating warehouse equipment and working safely in cold storage environments.
- Excellent communication and customer service skills, with the ability to serve as a primary liaison across warehouse, sales, QC, and operations teams, proactively managing expectations, service issues, and client inquiries.
- Ability to work independently while also collaborating effectively across departments to resolve discrepancies, manage capacity constraints, and maintain service level commitments.
- Strong problem-solving and analytical skills to track and resolve shipping delays, inventory variances, and client invoicing concerns while maintaining operational efficiency.
- Demonstrated ability to maintain accurate documentation and reporting, including SOPs, client order templates, product quality records, and inventory status reports.
- Competency with Microsoft Excel, Outlook, warehouse scanning or labeling tools, and basic ERP or WMS systems; experience considered an asset.
- Strong attention to detail and organizational skills, with the ability to complete time-sensitive and repetitive tasks accurately in a high-volume environment.
- Reliable and accountable work ethic, with a proactive approach to communicating issues or operational risks that may impact service levels.
- Ability to multitask and remain composed in fast-paced, physically demanding work environments.
- Commitment to working safely at all times, including the ability to identify and report safety risks in the workplace.
- Flexibility to support business needs, including occasional evening, weekend, or split shifts.
Required Qualifications
- Degree, diploma or related industry training in supply chain is considered an asset.
- Minimum, 2-3 years of related experience in inventory and warehouse operations; produce experience is considered an asset.
- Forklift and pallet jack experience preferred.
