Foremost has an immediate opening for an 18-month maternity leave contract position as a Contract Specialist, with an expected start date in February 2025, located at our facility in Calgary, Alberta. This position will be responsible for reviewing, analyzing, responding to various bid documents, negotiating, and administering agreements and associated documents.

*This is an in-person role. The successful candidate will be required to be on site at our facility in Northeast Calgary, Monday-Friday*

Responsibilities

  • Develop an intimate knowledge of Foremost's products and supply chain needs and the commercial (both legal and logistical) risks associated with them, including understanding how those must align with commercial terms relating to Foremost's end products.
  • Manage contract lifecycles, including systematic review and response to RFQs and purchase order terms, tracking renewals and amendments, ensuring timely approvals, monitoring purchase order compliance in accordance with agreed upon terms and conditions, and managing individual workflow priorities to meet deadlines.
  • Monitor RFP requirements and coordinate with the relevant departments.
  • Collaborate closely with the Legal team to prepare sales agreements, purchase contracts, letters of credit and logistics documentation; escalate issues exceeding defined negotiating authority; and contribute to continuous improvement of documented knowledge resources.
  • Negotiate contract terms directly with customers and suppliers in a customer-friendly, problem-solving manner, implementing Foremost's standard terms and conditions while reviewing and negotiating third-party terms where required.
  • Review sales contracts for compliance with export and sanctions controls, including management of international and multi-jurisdictional contract terms such as Incoterms, currency provisions, and governing law.
  • Liaise with insurance providers to verify adequate coverage for sales contracts, bids, and proposals; review insurance requirements and certificates to ensure compliance.
  • Work with sales and estimating to manage workflow, priorities and assist with expediting where needed.
  • Advise and educate project and supply chain team members of the legal principles underpinning Foremost's terms and conditions requirements.
  • Deliver executive summaries and proposals on contract terms for Senior Management approval, as required.
  • Exercise independent judgment on routine contract matters while escalating complex legal, commercial, or compliance issues that exceed established authority levels or present novel risk scenarios.
  • Provide post-sale contract support to customers, including responding to inquiries about contract terms, troubleshooting documentation issues, coordinating delivery and logistics paperwork, and liaising with U.S. Department of Motor Vehicles agencies to assist with vehicle registration and compliance requirements.
  • Utilize AI tools and SharePoint to track, document, and manage contract administration tasks and agreements.
  • Provide regular reporting on contract status, metrics, and issues during update meetings with the Legal team.
  • Assist Finance and Legal with special projects as assigned.

Qualifications

  • 3-5 years of experience in contract administration, commercial operations, or related roles within manufacturing, energy, or industrial sectors with exposure to customer and supplier contract management.
  • Legal operations or contract management experience with demonstrated ability to triage issues, exercise sound business judgment, and escalate appropriately when commercial, legal, or reputational risks exceed defined thresholds.
  • Strong risk assessment capabilities with experience identifying when matters require legal counsel involvement versus independent resolution within established guidelines.
  • Experience working within delegated authority frameworks, including understanding when contract terms, liability exposure, or business circumstances warrant management or legal review.
  • Advanced proficiency in Microsoft Office tools, Adobe, and adaptability to emerging technologies and digital tools to enhance efficiency. Exposure to GC.AI or other legal technology tools would be considered an advantage.
  • Demonstrate a firm understanding of contractual and legal terminology.
  • Ability to work in a fast-paced environment, managing multiple priorities and deadlines.
  • Demonstrated customer service experience with ability to respond professionally to client inquiries and resolve issues effectively.
  • Demonstrated ability to work independently as well as in a team to achieve results.
  • Takes initiative and is highly detail oriented.
  • Demonstrated ability to problem solve and find alternative solutions.
  • Exceptional written and verbal communication skills.
  • Experience as an executive assistant, legal assistant or paralegal would be considered an asset.
