Overview

The Sales & Order Flow Coordinator is a key operations-support role responsible for keeping orders moving smoothly from the Sales team through order entry and into warehouse fulfillment. This position ensures every order is accurate, complete, and clearly communicated - so warehouse and logistics teams can execute quickly and confidently.

This is a high-momentum role ideal for someone who thrives in a constantly shifting environment. Tasks change daily, priorities move quickly, and as one problem is resolved another will appear - making this role perfect for a proactive, process-minded person who enjoys staying one step ahead and keeping systems running efficiently.

You'll work closely with the Executive team, Sales, Marketing & Procurement and Warehouse teams to protect the customer experience and ensure internal processes remain streamlined and reliable.

Key Responsibilities:

Order Coordination & Process Flow

  • Manage the movement of orders from sales confirmation through fulfillment readiness
  • Ensure orders are entered accurately, consistently, and on time in FileMaker
  • Confirm all order details are complete (pricing, freight instructions, product availability, ship dates)
  • Monitor order progression and coordinate between departments to prevent delays
  • Proactively flag bottlenecks, missing information, or inventory issues before they impact shipping

Sales & Customer Support

  • Support sales reps and account managers with order revisions, confirmations, and follow-up
  • Act as a primary contact for customer questions related to orders, timelines, and product details
  • Provide clear and timely updates to internal teams and customers when changes arise
  • Help maintain high service standards through consistent communication and professionalism
  • Primary contact for all phone / email interactions
  • Maintains the full process credit note life cycle
  • Provide coverage during absences

Warehouse & Fulfillment Coordination

  • Ensure warehouse teams receive clean, accurate, and actionable order information
  • Coordinate with warehouse/fulfillment staff on changes, split shipments, backorders, and rush timelines
  • Help resolve discrepancies quickly to keep shipments moving
  • Support strong interdepartmental communication and continuous improvement

Data Accuracy, Executive & Administrative Support

  • Maintain up-to-date customer files, order records, and sales system accuracy
  • Assist with reporting, order tracking, and customer activity summaries as needed
  • Support seasonal launches, promotions, and large-volume order cycles
  • Contribute to improving documentation and internal process consistency
  • Aid in any data inputs as required

Continuous Improvement

  • Identify recurring friction points and recommend solutions to streamline workflow
  • Support process and system updates as procedures evolve
  • Help improve internal documentation and standard operating steps
  • Maintain organized, accurate records to protect operational integrity

Requirements

  • 2+ years of experience in sales coordination, order management, customer service, or operations support
  • Strong attention to detail and high standards for accuracy
  • Ability to prioritize and switch between tasks quickly in a fast-paced environment
  • Confident communicator (written and verbal), especially when working across teams
  • Comfortable working in database/ERP/order-entry systems (FileMaker experience is a plus)
  • Professional, calm, and solution-driven approach - even when timelines shift

Preferred Qualifications

  • Experience in wholesale, gifting, distribution, or consumer goods
  • Familiarity with FileMaker, ERP tools, or inventory-based systems
  • Experience supporting B2B or corporate customers
  • Strong Excel, reporting, or data-management skills
  • Troubleshooting capabilities when the needs arise.
