Job Summary

The Area Coordinator plays a vital role in managing administrative functions and supporting operational activities within the organization. This position involves coordinating office tasks, providing exceptional customer service, and ensuring smooth communication across departments. The ideal candidate is highly organized, detail-oriented, and proficient with various office software and systems. Previous experience in clerical, administrative, or medical office environments is preferred to effectively handle diverse responsibilities and support team efficiency.

Responsibilities

  • Manage daily administrative operations including data entry, filing, and document proofreading to ensure accuracy and organization.
  • Serve as the front desk receptionist, greeting visitors and handling multi-line phone systems with professional phone etiquette.
  • Provide excellent customer support by addressing inquiries, scheduling appointments, and maintaining positive client relationships.
  • Utilize software such as QuickBooks, Microsoft Office (Word, Excel), Google Workspace, and other computer skills to process transactions, update records, and generate reports.
  • Assist with bookkeeping tasks and maintain financial records related to the office or department.
  • Support medical or dental office functions by managing patient or client information, scheduling appointments, and supporting billing processes when applicable.
  • Coordinate with team members to ensure organizational efficiency through effective filing systems and organizational skills.
  • Perform clerical duties such as typing correspondence, organizing files, and supporting administrative projects as needed.

Skills

  • Proficiency with QuickBooks, Microsoft Office Suite (Word, Excel), Google Workspace, and general computer skills.
  • Strong organizational skills with attention to detail for data entry, proofreading, and filing tasks.
  • Excellent customer service abilities combined with professional phone etiquette for front desk operations.
  • Experience with multi-line phone systems and handling a high volume of calls efficiently.
  • Background in clerical or administrative roles; experience in medical or dental office settings is a plus.
  • Ability to manage multiple tasks simultaneously while maintaining accuracy under pressure.
  • Effective communication skills both written and verbal; capable of supporting customer support initiatives.
  • Familiarity with bookkeeping processes and basic financial record management is desirable.
