About the Role
We are seeking a highly organized, service-oriented Tenant Services & Administrative Coordinator to support the day-to-day operations of our Property Management team. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for providing top-notch customer service to tenants and property owners.
Key Responsibilities
Administrative Duties
- Acting as the primary receptionist for the Property Management office, duties include greeting visitors, coordinating office services (couriers, calendar management, filing, equipment, and supplies).
- Administrative support for the property management team including responding to enquiries, organizing leasing files – both digital and hard copy.
- Maintain organized records, including lease documents, tenant correspondence, property reports and Tenant Manuals.
· Support marketing efforts by managing and maintaining the directory boards and website with current promotions, events and updating the store directory.
· Administering the Tenant and Contractor Insurance Certificate Program.
Financial Management
- Process vendor invoices for payment and maintaining the cheque tracking sheet.
- Prepare and maintain accurate sales reports and monthly agenda for assigned properties.
Maintenance Coordination
- Coordinate maintenance requests, ensuring timely communication with tenants and vendors.
- Assisting with the coordination of tenant and community events as the Tenant Services Coordinator.
QUALIFICATIONS & ATTRIBUTES
- Holds a post-secondary degree or has equivalent work experience.
- Prior experience in property management and/or real estate is an asset.
- Proficiency in Microsoft Office is preferred.
- Possesses superior communication and organization skills.
- Dedication to delivering exceptional service consistently.
- Adaptability to change with a positive outlook, consistently delivering successful results within specified time frames.
- A team-oriented approach to achieving goals and objectives.
- Proven organizational and multitasking abilities, with a capacity to meet deadlines with complete ownership and accountability.
