Job Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to support our office operations. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role involves managing administrative tasks, providing exceptional customer service, and ensuring smooth daily operations within a professional environment. The successful candidate will support both front-end client service and behind-the-scenes administrative processing. The position offers an engaging work environment where organizational skills and professionalism are valued.

Responsibilities
- Manage front desk duties, including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office suite and internal software systems - Salesforce experience an asset
- Handle filing, document proofreading, and general clerical tasks to support office efficiency
- Provide customer support and respond to inquiries via phone, email, or in person
- Assist with appointment scheduling, calendar management, and follow-up communications
- Assisting with backend processing and administrative support tasks
- Accurately documenting all client interactions and correspondence
- Maintain organized office supplies and ensure the workspace is tidy and functional
Requirements
- Proven clerical or administrative experience, preferably in a financial office setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Strong computer skills with the ability to perform data entry accurately and efficiently
- Excellent organizational skills with keen attention to detail
- Ability to handle multi-line phone systems professionally and courteously
- Exceptional typing speed and proofreading abilities
- Strong customer service skills with a friendly demeanor and good phone etiquette
- Ability to manage multiple tasks simultaneously in a fast-paced environment
- Prior experience with front desk operations is preferred
Qualifications
- College diploma or post-secondary education is preferred
- A diploma in accounting is not required but considered an asset
- Any certification or education in administration or finance is beneficial
- Prior administrative or office experience is an asset, but the right attitude and fit are most important
