Position Overview
As our Executive Administrative Assistant, you will provide dedicated administrative support to the Component Operations Department, assisting a select group of professionals while managing confidential information and files. Reporting to the Vice President, Components, you will coordinate with colleagues across the organization and occasionally with external parties to gather information, prepare reports, and support daily operations. You will also create organizational announcements as required. This role requires professionalism, discretion, and specialized administrative skills to ensure smooth department functioning and uphold the Company's image.

Your Day to Day as our Executive Administrative Assistant, Components:

  • Manage employee information, including timesheets, training, absenteeism, and vacation records using HRIS and SAP systems.
  • Support budgeting activities by monitoring costs, preparing headcount reports, and assisting with budget inputs.
  • Administer and track quality program activities, including corrective actions, root cause analyses, and audit findings.
  • Prepare and maintain reports, performance charts, and budget/requisition spreadsheets for management.
  • Coordinate office administration, including meetings, travel arrangements, supplies, and internal/external communications.
  • Assist with recruitment processes, onboarding, terminations, and employee record management.
  • Prioritize competing tasks, exercise discretion, and communicate effectively across all levels of the organization.

Required Qualifications

  • 5+ years in senior administrative support with deep knowledge of office operations.
  • Post secondary education in a relevant field.
  • Expert in Microsoft Office; SAP experience is an asset.
  • Strong communication skills with the ability to work independently or collaboratively.
  • Highly organized, detail-oriented, and able to anticipate and prevent issues.
  • Exercises discretion with confidential information and demonstrates excellent judgment.
  • Flexible and adaptable, with strong problem-solving and process improvement skills.

The base salary range for this position in Ontario at the start of employment is expected to be between $50,000 and $69,000 per year. Subject to these considerations, the total compensation package for this position may also include other elements, such as an annual cash incentive in addition to a full range of medical, retirement, and/or other benefits.
