Overview

We are seeking a detail-oriented and organized Administrative Assistant to join our team. This role is vital in supporting daily office operations, ensuring smooth communication, and maintaining efficient administrative processes. The ideal candidate will possess strong computer skills, excellent organizational abilities, and a professional demeanor to handle various clerical and customer service tasks in a fast-paced environment.

Duties

  • Manage front desk responsibilities, including greeting visitors and directing calls
  • Operate multi-line phone systems with professionalism and courtesy
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks
  • Handle filing, document proofreading, and organization of office supplies
  • Provide customer support via phone and email, ensuring excellent phone etiquette and customer service standards
  • Assist with bookkeeping tasks such as invoicing, billing, and basic financial record keeping
  • Support medical or dental office functions if applicable, including appointment scheduling and patient communication
  • Maintain organized digital and physical files for easy retrieval of information
  • Assist with administrative projects as needed to support team efficiency

Requirements

  • Proven clerical or administrative experience, preferably in a medical or dental office setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and QuickBooks
  • Strong computer skills with the ability to learn new software quickly
  • Excellent organizational skills with attention to detail for proofreading and data entry tasks
  • Experience with multi-line phone systems and front desk operations
  • Ability to handle customer service interactions professionally and courteously
  • Strong typing skills with a focus on accuracy and speed
  • Knowledge of filing systems and administrative procedures
  • Excellent phone etiquette and communication skills
  • Ability to multitask efficiently in a fast-paced environment

Job Types: Full-time, Fixed term contract

Contract length: 12 months

Pay: $17.27-$25.01 per hour
