Our client, a key player in the investment management space, is looking to hire a Vendor Onboarding Specialist for a 6-12 month contract with the potential to extend or convert. The Vendor Onboarding Specialist is responsible for managing the end-to-end onboarding process for new vendors and suppliers. This role ensures all vendors meet company standards, compliance requirements, and operational readiness before becoming active partners. The ideal candidate is highly organized, detail-oriented, and skilled in cross-functional collaboration to ensure a smooth and efficient onboarding experience.

Key Responsibilities:

  • Coordinate and execute the complete vendor onboarding process from initial contact through system setup and activation.
  • Collect, verify, and maintain vendor documentation, including tax forms, insurance certificates, contracts, and compliance certifications.
  • Ensure all vendors meet regulatory, financial, and ethical compliance standards before approval.
  • Collaborate with internal teams (Procurement, Legal, Finance, IT, and Operations) to streamline vendor setup and approval workflows.
  • Maintain accurate and up-to-date vendor records within the company's procurement or ERP system (e.g., SAP, Coupa, Oracle, NetSuite).
  • Provide training and support to vendors on company processes, portals, and invoicing requirements.
  • Identify opportunities to improve onboarding efficiency and enhance the vendor experience.
  • Monitor key metrics and prepare reports on vendor onboarding status, timelines, and compliance levels.
  • Assist in developing and updating vendor onboarding policies, checklists, and documentation standards.

Qualifications:

  • Bachelor's degree in Business Administration, Supply Chain, Finance, or a related field (or equivalent experience).
  • 2–3 years of experience in vendor management, procurement operations, or supplier onboarding.
  • Strong understanding of vendor compliance, procurement systems, and risk management practices.
  • Excellent organizational and communication skills with a focus on accuracy and attention to detail.
  • Proficiency in Microsoft Office Suite and vendor management or ERP systems (SAP Ariba, Coupa, Oracle, etc.).
  • Ability to manage multiple priorities and work effectively in a fast-paced, cross-functional environment.
