Job Overview

We are seeking a detail-oriented and organized Appointment Coordinator to join our service team. In this role, you will be responsible for managing scheduling, coordinating appointments, and providing exceptional customer service to ensure a smooth and efficient operation. The ideal candidate is proactive, communicative, and capable of handling multiple tasks with professionalism and accuracy.

Responsibilities

  • Schedule and confirm appointments with clients via phone, email, or online systems
  • Manage appointment calendar to optimize scheduling efficiency
  • Reschedule or cancel appointments as needed, communicating changes effectively to clients and staff
  • Maintain accurate records of all appointments and client interactions
  • Respond promptly to client inquiries and provide excellent customer service
  • Coordinate with team members to ensure all necessary resources are prepared for upcoming appointments
  • Follow up with clients post-appointment to gather feedback or reschedule future visits
  • Assist in administrative tasks such as data entry, filing, and managing correspondence related to appointments

  • Proficiency in scheduling software or CRM systems; experience with Microsoft Office Suite is a plus

  • Ability to handle sensitive information confidentially
  • Previous experience in administrative support or appointment setting is preferred but not required

Job Types: Full-time, Permanent

Pay: $17.50-$19.50 per hour

Work Location: In person
