Finance Officer

Reporting to the Controller, the incumbent is responsible for the accurate and timely processing of all accounts payable for Qikiqtaaluk Corporation and/or other QC subsidiaries. The Finance Officer-Accounts Payable has general knowledge of accounting and established policies, procedures and directives and will provide a high degree of accuracy when preparing and processing accounts payables including data entry and coding thereby instilling in clients and staff that they can depend on information from the records as being accurate and usable.

The Finance Officer-Accounts Payable will accurately process and review all accounts payable transactions while adhering to financial controls and in accordance with company payment terms and month-end reporting deadlines. The Finance Officer-AP may be asked to perform other related duties as assigned.

Accounts Payable Activities (95%)

  • Maintains accounts payable records though regular updates, verifications, reconciliation of accounts and coding of invoices;
  • Maintains accurate vendor information in Sage 50;
  • Adds new vendors' information as required;
  • Maintains records by collecting and filing records such as purchase orders;
  • Approval stamping of vendor invoices;
  • Compiling invoices and related backup and obtaining proper expenditure authorizations before processing;
  • Checks invoice coding and accuracy of GST/HST, etc.;
  • Posts invoices in Sage 50;
  • Prepares cheques for signing, mailing or distribution and electronic payments (EFT) for approval;
  • Maintains AP aging lists and provides feedback for aging over 60 days to the Controller on a monthly basis;
  • Verify vendor accounts by reconciling monthly statements and related transactions for discrepancies, missing or unpaid items;
  • Effectively communicates and liaises with vendors and other departments via phone, email, fax or otherwise to resolve all A/P inquiries and discrepancies;
  • Initiates intercompany bill-backs;
  • Electronic filing of AP documents;
  • Creates new accounts payable files as required, ongoing and year-end;
  • Archives files at year-end.

General Accounting (5%)

  • Other duties as assigned by the Director of Finance or Controller;
  • Assist with preparation of annual audit information and supporting documents;
  • Assists with preparing year-end working papers related to the general ledger;
  • Locating documents for others;
  • Responding to inquiries from staff;
  • Locating documents for others;
  • Scanning, photocopying and emailing.

Qualifications and Skills required:

Formal Education:

  • High school diploma;
  • Completion of post-secondary education courses in bookkeeping or financial accounting;
  • A combination of education and experience will be considered.

Experience:

  • At least two years of accounts payable experience in a computerized environment (Sage 50 preferred);
  • Working knowledge of Sage SO;
  • MS Excel, Word, Outlook;
  • Knowledge and/or experience with Nunavut and Northern Canada is an asset.

Job Type: Full-time

Pay: $85,000.00-$95,000.00 per year
