Reporting to the Vice President of Community and Strategic Development, the Corporate Services Manager (CSM) manages the administrative and financial matters for the Northern Headquarters in Iqaluit and remotely manages the administrative matters of all other Nunavut offices. The Manager also manages the logistics and coordination of all activities related to northern travel. The CSM will work with the Community Engagement Lead to manage and report the department's engagement activities and maintain the community engagement calendar.



Main Accountabilities

  • Manage administrative support in all CSD communities including coordinating logistics, and finance such as issuing payments to community members, creating purchase order requisitions, processing invoices , and processing expense report.
  • Maintains highly sensitive and confidential matters relating to the department's work and relationships.
  • Provides executive support to the VP, the Head of Northern Affairs and the Senior Advisor by managing schedules, coordinating travel arrangements, creating expense claims, reconcile VISA payments and scheduling meetings and conference calls. Also assists with travel arrangements for the CEO visits to Iqaluit and other Nunavut communities.
  • Provides support to managers and their staff in the Sustainable Development Team as and when needed.
  • Manages team events by coordinating scheduling, obtaining event space and materials, and providing communication to community staff.
  • Acts as the primary point of contact for company guests and external parties by answering inquiries and providing information.
  • Manages the Northern Affairs Administrative Assistant and summer students by providing work direction, evaluating and providing feedback on performance.
  • Provides support to the Northern offices by maintaining office supplies and office furniture.
  • Manages all financial payments for the 3 Cost Centres under CSD including the development of PRs, and SESs.
  • Produces timely financial reports and tracks forecasted scheduled payments for all 3 Cost Centres under CSD.
  • Provides support with the budget by tracking expenditures and following up on payments for CSD's 3 cost centres.
  • Lead the coordination of event registration and preparation of related materials for events, including the Nunavut Trade Show, Nunavut Mining Symposium, and similar engagements.
  • Assists various departments with receiving and shipping packages to site and to communities by obtaining shipping materials and transporting packages.
  • Maintain inventory list of office furniture and equipment, promotional items, posters, maps, 3-D models and other properties within the Baffinland office.


Main Qualifications

  • College Diploma in Administrative or business-related discipline-Preferred
  • 5-7 years administrative experience supporting senior management 
  • SAP Experience-Preferred
  • Experience within Nunavut and ability to speak Inuktitut
  • Read and write Syllabics
  • Enrolled under the Nunavut Agreement, with a thorough knowledge of Inuit Culture
  • Highly proficient with Microsoft Office Suite (Outlook, Word, Excel, and Power Point)
  • Strong interpersonal and communication skills
  • Strong organizational and finance administration skills.
  • Ability to work both individually and in a team environment
  • Ability to manage a team
  • Ability to travel occasionally to support the VP and senior Team members
  • Ability to multi-task, prioritize workflow to ensure all deadlines are met, and work under pressure in a fast- paced dynamic environment
  • Ability to take initiative and attend to detail and follow-up
  • Ability to develop an understanding of the organization and its business activities
  • Ability to maintain confidentiality on highly sensitive matters
