Medical Office Assistant

Regina Wellness Wheel Clinic is a non-profit healthcare organization dedicated to providing equitable, culturally responsive, and holistic care in collaboration with Indigenous communities across Saskatchewan. Our multidisciplinary team works with First Nations community health centres and local health teams to deliver primary care, harm reduction services, and chronic disease management through outreach care.

We are seeking a dedicated and organized Full-Time Medical Office Assistant (MOA) to support our clinical team. This role is ideal for someone who is passionate about supporting the delivery of pre- and post-natal care and outreach healthcare services to Indigenous communities in Saskatchewan. The successful candidate will bring experience and/or education in cultural sensitivity and competency, particularly with Indigenous communities, and demonstrate an inclusive approach to harm reduction. They will be highly organized, tech-savvy, and compassionate, with strong communication skills and a commitment to culturally safe care for women and families living on reserve and for other vulnerable populations.

This position is part of a newly developed Innovation Fund between the Saskatchewan Government and medical clinics across Saskatchewan with the aim of improving patient access and quality care through team-based support, that will deliver better access to primary care in the province of Saskatchewan. This position is temporary until March 31, 2027, with the possibility of an extension.

Responsibilities:

  • Coordinate and schedule patient appointments using electronic medical records (EMR) with efficiency and attention to accuracy.
  • Provide responsive, compassionate communication with patients in person, by phone, email, and through secure messaging platforms.
  • Prepare healthcare providers for appointments by reviewing patient charts, confirming bookings, and ensuring necessary documentation is available.
  • Register new patients and update demographic information including contact, insurance, and health card details, accurately in the EMR system.
  • Process referrals, consults, requisitions, and follow-up communications as directed by healthcare providers in a timely manner.
  • Communicate appointment confirmations, reminders, and scheduling updates with professionalism and respect for patient confidentiality.
  • Uphold privacy and confidentiality standards in compliance with clinic policies and relevant legislation (e.g., HIPA).
  • Collaborate with other clinics, laboratories, community organizations, and health agencies to ensure coordinated care and effective communication.
  • Assist with medical transportation logistics for patients, working in collaboration with the SHA Nursing team, clients, and community partners.
  • Support in-person clinics as needed, including rooming patients, preparing clinical spaces, and disinfecting rooms and surfaces between visits.
  • Contribute to culturally safe and inclusive care practices by demonstrating sensitivity and respect for diverse cultural backgrounds, particularly Indigenous communities.
  • Apply an inclusive and nonjudgmental harm reduction approach in all patient interactions, including the safe distribution of harm reduction supplies.
  • Participate in ongoing learning to strengthen cultural competence, reconciliation awareness, and trauma-informed practices within healthcare delivery.
  • Perform other administrative and operational tasks as required to support the overall efficiency and effectiveness of the healthcare team.

Qualifications:

  • Completion of a recognized Medical Office Assistant or Medical Administrative program.
  • Previous experience working in an outreach clinic, mobile healthcare, or community health setting, with the ability to adapt to diverse environments and patient needs.
  • Demonstrated cultural competency and sensitivity, particularly in working with First Nations, Inuit, and Métis communities, and a commitment to culturally safe and equitable care.
  • Understanding of the Truth and Reconciliation Commissions (TRC) Calls to Action related to healthcare and their application in daily practice.
  • Knowledge and commitment to harm reduction principles and inclusive approaches to supporting individuals with complex health and social needs.
  • Proficiency in using EMR systems (e.g., MedAccess) and video conferencing platforms (e.g., WebEx).
  • Strong computer literacy, including proficiency with Microsoft Office programs.
  • Excellent interpersonal, communication, and organizational skills, with the ability to manage multiple priorities.
  • Familiarity with medical terminology, privacy legislation, and patient confidentiality guidelines.
