Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will have a strong background in administrative support and customer service, with proficiency in various office software. This role is essential for maintaining smooth office operations and providing excellent support to our clients and staff.
Duties
- Manage front desk operations, including greeting visitors and handling inquiries.
- Perform data entry tasks accurately and efficiently.
- Maintain organized filing systems for easy retrieval of documents.
- Handle multi-line phone systems, ensuring professional phone etiquette while assisting callers.
- Provide clerical support, including typing, proofreading documents, and preparing reports.
- Assist with bookkeeping tasks and manage financial records using QuickBooks.
- Support customer service efforts by addressing client needs and providing information as required.
- Utilize Microsoft Office Suite and Google Workspace for various administrative tasks.
- Collaborate with team members to ensure efficient office operations, including scheduling appointments and managing calendars.
- Maintain confidentiality of sensitive information in accordance with company policies.
Requirements
- Previous office experience is preferred, ideally in a medical or dental office setting.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace is essential.
- Strong computer skills with the ability to learn new software quickly.
- Excellent organizational skills with attention to detail.
- Effective communication skills, both written and verbal, with a focus on customer support.
- Experience with data entry and clerical duties is highly desirable.
- Familiarity with multi-line phone systems and front desk operations is a plus.
- Ability to work independently as well as collaboratively within a team environment.
