About The Role
The
Senior Administrative Assistant
, Pension Solutions provides high-level administrative and coordination support to the Vice Presidents of Pension Solutions and the Pension Solutions leadership team. This role supports the efficient operation of the department, in collaboration with the Executive Assistant to the Chief Strategy Officer, enabling the execution of strategic and business as usual priorities.

The Senior Administrative Assistant ensures efficient workflow management, supports the delivery of Board of Trustees and senior leader reporting, maintains knowledge repositories, and acts as a key liaison with internal and external stakeholders. In addition, they provide administrative support for the Pension Solutions team, managing schedules, coordinating communications, organizing meetings, and handling confidential information with discretion.

As The Newest Member Of Our Team, You Will

  • Provide comprehensive administrative, scheduling, and coordination support to the Vice Presidents and leadership team, ensuring smooth execution of departmental priorities.
  • Prepare meeting agendas, presentations, and supporting materials; take minutes and follow up on action items to keep projects moving forward.
  • Organize Pension Solutions team meetings, workshops, and events, including logistics, catering, and record keeping.
  • Support the preparation, consolidation, and quality review of management and Board reporting.
  • Collaborate across departments and with project management to coordinate and complete cross-functional deliverables.
  • Manage expense reporting, approvals, and submissions to Finance, and coordinate complex travel and training for the Pension Solutions leadership team.
  • Perform other related tasks in support of the successful operations of the Pension Solutions department, as required.

To Succeed, You Bring

  • Minimum five (5) years of experience providing administrative support to senior leaders within a fast-paced, changing work environment.
  • Post-secondary diploma in a relevant field is preferred.
  • Superior organizational skills, including the ability to anticipate needs, manage multiple priorities, and proactively resolve issues.
  • Advanced proficiency in Microsoft 365 and comfort with adopting new technologies, including AI-enabled tools and project/work tracking systems.
  • Experience with Salesforce or another client relationship management tool is an asset.
  • Experience in business development, particularly in the pension and/or group benefits sector would be valuable.

The target hiring salary for this position is $61, $72, Placement within our salary range will be based on factors such as internal equity, market conditions, and the candidate's experience, skills, and qualifications relevant to the role.
