The main purpose of this position is to provide senior administrative support services to the Provincial Chief of Nursing, Professional Practice & System Integration and to the Director of Workforce. This position provides high level support and resource to approximately 7 staff. This includes daily administrative support and office operation as well as financial and information management. The position is required to work independently and make decisions when dealing with other staff, divisions, and facility management issues.

Duties include:

  • Efficient organization and maintenance of the Chief/Director's calendars, scheduling meetings and appointments, and resolving conflicts which arise by rescheduling commitments;
  • Reviewing incoming mail (including electronic mail), evaluating correspondence and highlighting high priority items to the Chief's and the Director's attention. Assisting with timely follow up on items requiring response from the Chief and/or Director.
  • Drafting memos, letters or other correspondence from verbal or written instructions while coordinating timely, effective flow of information within the division/department and with other entities;
  • Coordinate meeting logistics by scheduling meetings, booking meeting space, set up A/V equipment, preparing agendas and recording minutes as required and ensuring the Chief/Director has meeting materials in advance;
  • Maintain a filing system, maintain and operate office equipment and order office supplies.
  • Assist in onboarding new staff (i.e. preparing orientation paperwork, arranging for computers, phone, workspace equipment, etc.)
  • Prepare accounts payable invoices for processing, including checking invoices for accuracy, signing authority, and coding;
  • Receive visitors and incoming calls and redirect to the proper channel;
  • Liaise with Creative Services regarding production of reports, brochures and public information
  • Support Workforce staff with various office related needs (i.e. submission of maintenance requests, ordering supplies, etc.)
  • Other duties as required.

Minimum Qualifications:

  • Successful completion of a recognized secretarial program/Office studies course. University degree would be an asset.
  • Demonstrated equivalency will be considered
  • Extensive secretarial experience and considerable experience at a senior level.
  • Excellent communication and interpersonal skills.
  • Working knowledge of Microsoft Office suite (Word, Excel, and PowerPoint) & Outlook 365, Microsoft teams, Oracle, internet browsers.
  • Excellent organizational skills and the ability to work independently without close supervision.
  • A high degree of proficiency in English correspondence (editing and composing correspondence).
  • Effective organizational, time management, interpersonal and communication skills.
  • An ability to multi-task and work independently under a demanding workload.
  • Exceptional attention to detail.
  • Excellent attendance and work record.
