Position Overview:
The Operations Manager ensures the seamless day-to-day functioning of ENCOR's office, balancing operational efficiency, compliance, and administrative excellence. This role requires an individual who is highly organized, proactive, and capable of managing multiple priorities while maintaining ISO 9001 standards, vendor relationships, and a professional office environment.
Key Responsibilities:
- Operations Management:
- Handle invoice preparation, editing and accounts receivable.
- Manage office supplies and inventory, ensuring timely replenishment and cost control.
- Oversee vendor management, including payments, follow-ups, and scheduling.
- Manage technical queries (IT coordination, printer setup, access issues).
- Handle building-related requests and liaise with property management for maintenance needs.
- Support ISO 9001 internal audits, and document preparation.
- Administrative and Office Support:
- Create and maintain client files and ensure documents are properly organized.
- Send documents for signature and coordinate follow-ups.
- Schedule meetings, distribute agendas, and manage internal calendars.
- Send company-wide communications (newsletters, newspaper, meeting reminders, announcements).
- Manage events including internal celebrations, charity drives, and client functions.
- Assist with onboarding (headshots, email signature setup, business cards, printer setup).
- Manage supply procurement (office and kitchen), ensuring cost-effective purchasing.
- Manage printing, binding, and courier requests.
- Marketing and Technology Coordination:
- Familiarity and willingness to learn modern marketing platforms like HubSpot, Mailchimp, MLS, CoStar, etc.
- Support marketing initiatives by coordinating data management, contact updates, and document uploads.
- Assist marketing team in preparing marketing collaterals.
- Assist in document editing.
Qualifications:
- Bachelor's degree in Business Administration or a related field.
- Strong organizational, multitasking, and communication skills.
- Proficiency with Google Workspace, and Microsoft Office Suite.
- Detail-oriented with the ability to anticipate needs and solve problems proactively.
- Team-oriented, professional, and adaptable in a fast-paced environment.
Nice to have:
- Understanding of Ontario real estate regulations (RECO, TRESA).
- Compliance background.
- 1-3 years of experience in office operations, administration, or compliance management.
