Overview:

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in North York, Canada. The Ideal candidate will play a crucial role in performing a variety of administrative and clerical tasks. Duties of the administrative assistant include providing support to managers and employees, assisting in daily office needs and managing our company's general administrative activities.

Responsibilities:

· Offer comprehensive administrative assistance to both managers and team members.

· Professionally handle and route incoming phone calls.

· Efficiently organize and manage appointment schedules.

· Take charge of planning meetings, ensuring detailed minute-taking.

· Draft, distribute, and manage emails, memos, letters, faxes, and forms.

· Contribute to the preparation of regularly scheduled reports.

· Establish and maintain a filing system for easy document retrieval.

· Regularly update and uphold office policies and procedures.

· Oversee the procurement of office supplies, researching new deals and suppliers.

· Maintain accurate and up-to-date contact lists.

· Coordinate travel arrangements for team members.

· Facilitate the submission and reconciliation of expense reports.

· Provide welcoming support to office visitors.

· Act as a central point of contact for both internal and external clients.

· Collaborate with executive and senior administrative assistants to address requests and inquiries from senior management.

Qualifications:

· High school degree, bachelor's degree or additional qualification as an administrative assistant or secretary will be a plus.

· Proven experience as an administrative assistant, virtual assistant or office admin assistant.

· Experience and knowledge of construction background.

· Proficient in Microsoft office suit (Word, Excel, PowerPoint, Outlook).

· Excellent organization and time management skills.

· Strong written and verbal communication abilities.

· Ability to multitask and prioritize tasks efficiently.

· Detail-oriented with high level of accuracy in work.

· Ability to maintain confidentiality and handle sensitive information.

· Knowledge of office management systems and procedures.

· Working knowledge of office equipment, like printers and fax machines. kills, we would love to hear from you

Ability to commute/relocate:

North York, reliably commute or plan to relocate before starting woke (required)

Experience:

· Front desk: 1 year (preferred)

· Administrative experience: 1 year (preferred)
