Overview

The Undergraduate Programs Officer is responsible for providing Nursing student outreach and engagement, including academic consultation and counselling for undergraduate BScN students. The role also involves participation in admission and recruitment initiatives, timetable and registration activities, data tracking and collation, and support for faculty and sessional instructors during high-stakes student meetings. The Officer leads program evaluation/accreditation/approval activities and facilitates decision-making related to occupational health and safety and infection control requirements with clinical partners.

Responsibilities

Student Outreach & Engagement

  • Respond to student inquiries via email, phone, and in-person meetings.
  • Manage students course and curriculum issues, including review and risk assessment.
  • Direct students to on-campus and off-campus resources.
  • Collaborate with Clinical Placement Coordinator and Nursing Lab staff.
  • Monitor and approve special permission requests.
  • Attend faculty and curriculum meetings and liaise with clinical/community partnerships.

Admission and Recruitment Initiatives

  • Participate in high school and prospective student recruitment activities.
  • Develop and update promotional materials and manage the Nursing website.
  • Attend Recruitment Committee meetings and liaise with LU Admissions/Student Central.

Timetables, Registration & Others

  • Schedule all Nursing courses in DCU, ensuring room bookings and equipment availability.
  • Liaise with other departments, faculty, and students regarding registration activities.
  • Serve as the primary contact for the Scheduling office and lead Curriculum Navigator submissions.
  • Monitor students & clinical placement eligibility using Synergy Gateway/Verified software.
  • Develop and maintain databases and tracking systems.
  • Lead program review activities, including CASN accreditation and CNO approval.
  • Update the School of Nursing website and track students progress.
  • Assist with urgent tasks in the absence of the Administrative Assistant and Clinical Placement Coordinator.
  • Perform other duties as assigned by the Director.

Faculty and Sessional Support

  • Support faculty and sessionals during student meetings related to clinical and safety concerns.
  • Guide lab staff on remediation requirements for professional practice concerns.
Qualifications
  • Nursing or professional program related degree is mandatory.
  • Knowledge of Lakehead University BScN programs' curriculum, School of Nursing policies and procedures, and University and Faculty of Health & Behavioural Sciences policies and regulations (e.g, including special exams, student code of conduct, and academic integrity policies) is an asset.
  • Knowledge of professional programs accreditation and approval requirements is an asset.
  • Ability to use technology (e.g., proficiency in Microsoft Office, organizational specific software such as DCU, Curriculum Navigator, etc.) is required.
  • Must have well developed professional and therapeutic communication skills, with the ability to prioritize, problem solve, and multi-task.
  • Excellent judgment and adherence to program regulations.
  • Ability to maintain positive relationships with students, faculty, and staff.
  • Crisis management skills for handling students mental health and academic challenges.
